The role of Assessment and Data Manager is to manage the coordination, organization and implementation of standardized internal and external assessments within the school. This individual will oversee various assessments and testing protocols, and ensure accurate data management schoolwide that aligns with ICS’s mission and vision to increase student learning and performance.
JOB PURPOSE
● To manage data-driven assessment practices within the school that align with ICS’s mission and vision
● To oversee the collection, recording, collating, reporting of data on student learning in school databases
● To assist leadership identify various streams of data to increase student learning and performance
● To oversee and coordinate all external assessment practices, including but not limited to: MAP, FAST, PSAT, ACT and SAT, Educational Northwest CWA
● To organize and supervise the SAT and ACT exams, including, but not limited to the hiring, training and management of proctors
● To oversee and coordinate internal assessment practices as required by the Office of Teaching and Learning
● To assist in the analysis of assessment data as required
DUTIES AND ESSENTIAL JOB FUNCTIONS
ASSESSMENT
Contributions
● Contribute to decision-making processes on implementation of assessment management procedures, development and organization
● Support the implementation the ICS Strategic Plan as it relates to assessment and data
Coordination
● Coordinate teacher training, schedules, logistics and implementation of Measures of Academic Progress (MAP)
● Coordinate Internal/External Writing Assessment (Education Northwest), FAST and other data streams schoolwide
● Coordinate and collaborate with ICT department to ensure a reliable, timely and smooth implementation of MAP, FAST and other computer-based assessments
● Hire, supervise and train seasonal proctors to assist in implementation of MAP
● Coordinate PSAT logistics and implementation
● Coordinate AP exams for select individuals
● Proctor on-site exams by external organizations as required
Data Collation and Communication
● In collaboration with Principals and DTL, coordinate annual schoolwide student growth goals
● In collaboration with school leadership, create, maintain and communicate internal/external assessment calendars
● Oversees collection and recording of student achievement data in reading, writing, math, and other content areas
● Maintain records of internal and external assessment data
● Input, organize and ensure accurate and timely movement of data from the assessment period to ICS’s data management system, including Powerschool
● Assist in the updating of assessment logistics within Powerschool
● Assist with problem solving to provide data to counselors and team leaders on students of concern
● Review and refine systems for sharing information with teachers, administration
● In collaboration with the Director of Teaching and Learning, ensure timely submission of data evidence for accreditation
Training
● Guide and provide training to faculty and support staff on the logistics of ICS assessment systems and data management processes.
● Provide training on implementation of internal and external assessments, and analysis of assessment data
● Train support staff on data input into relevant systems
Budgetary
● Manage subscriptions and budgets for ICS’s external assessment programs (MAP, FAST, PSAT, SAT, ACT, etc)
● Manage hours and work logs of seasonal MAP proctors
SAT and ACT Specific Requirements
● Complete online training to be up-to-date on testing guidelines and regulations
● Hire, train and supervise SAT, ACT proctors that oversee the testing rooms on testing dates
● Organize necessary facilities and rooms for testing dates
● Submit necessary paperwork for proctor payments
● Supervise and elicit problem solving skills on Saturday testing dates
a. Saturday testing dates (Approximately 6 a.m.-2 p.m.) or arrange with the testing agency to have a pre-approved designated testing coordinator
● Fill out all necessary forms on testing dates (i.e. proctor agreement form, irregularity forms, etc.)
● Return materials in a timely manner (usually the Monday after the exam)
● Maintain an electronic file of all necessary paperwork
● Work closely with Counselors to coordinate assessment data
● Maintain relationships with and communicate/collaborate with College Board regarding SAT, PSAT, ACT exams
● Communicate with parents about information regarding SAT, PSAT, and ACT
● Maintain relationships within and outside the school
● Bachelor's Degree
● Minimum of 5 years of relevant experience in coordinating and problem solving
● Master’s Degree
● Experience with other international organizations
SKILLS REQUIRED
● Knowledge and understanding of assessment practices, including MAP, FAST, PSAT, ACT, SAT
● Organized with a strong attention to details

● Strong technology skills with an ability to disaggregate and analyze a variety of school data using a variety of software
● Ability to effectively use technology to communicate data in a meaningful way, including by not limited to excel, google form, google docs, Powerchool

● Excellent communication skills (English--written and oral) and interpersonal skills
● Honest person of high integrity, who takes testing security seriously
● Is able to supervise proctors and hold everyone accountable to the expectations and requirements of the standardized testing agencies
● Is willing to devote the time on the testing weekends required to supervise the SAT and ACT tests
Hours and Compensation
● Support staff hours of 7:45 a.m.-4:45 p.m. daily, with some possible early morning, early evening work around the MAP or other essential testing seasons
● Duties will include Saturday weekend work during SAT and ACT exam dates--Additional compensation for Saturday weekend work will be provided by the SAT and ACT directly (not from ICS)
● Commitment to attend a compulsory MAP training (online or offsite) and professional learning related to Assessment
