Purpose of the position:
Sponsorship Operation Coordinator is responsible for coordinating, networking, controlling, monitoring, capacity building & quality assurance to the Cluster Program Office Child Sponsorship Operations with the view to contribute to the sustained wellbeing of children and transformation of sponsors in alignment with National Office Strategy, plans, policies, partnership standards and guidelines.
Coordinate & ensure all child Sponsorship business processes are implemented at CPO( cluster program office)/Aps (Area programs) as per sponsorship policies, standards and procedures.
Identify the skill gap of the CPOs/APs staff and conduct training in collaboration with NO Sponsorship operation team as required.
Coordinate, Facilitate and Monitor the sponsorship operation functions of the CPO and ensuring quality child to sponsor communications.
Network and build smooth relationship with NO, Support Offices and APs in providing quality sponsorship service. In addition, Strengthen Sponsorship Integration with Programs that ensures Sponsorship Programming with Sponsorship Minimum Programming Standards (SMPS) to bring child wellbeing.
Implement, Monitor and follow up new sponsorship initiatives (Sponsorship 2.0, Single STEP, sCMS, SIP, etc) at the CPO and APs
Coordinate, Monitor and Ensure quality designing of APR and Christmas Cards and follow up on timely mailing process to respective sponsors and SOs on regular and period basis.
Coordinate and handle Sponsor Visit, follow up on Birthday Bounce Back Christmas gift kit and GN funds under the CPO.
Monitor and follow up the status of SOIs/KPIs, Child Monitoring, RC/family benefit and participations in the program using sponsorship systems and other tools as appropriate.
Participate and contribute to CPO level guidance on design/redesigning of AP programs ensuring that Sponsorship components are integrated appropriately in alignment with Partnership Guidance.
Organize and Conduct Periodical AP monitoring/support visit and check that APs are maintained sponsorship standards and procedures.
Ensure the timely collection and delivery of sponsor and child mails/parcels/gifts.
Monitor and follow up Annual Sponsorship Data Reconciliation, Children Annual and Biannual data Updates in STEP system, Case Management Issues, CWB components of the respective APs.
Monitor, follow up and ensure the proper functioning of all sponsorship operation systems at APs to inform sponsorship programming regularly.
Collaborate with CPO ICT/HO team in ensuring that staff working at sponsorship systems are adequately trained and supported and are performing at optimum level.
Closely work with APs to implement the new sponsorship operational model management and conduct capacity building efforts with APs for Sponsorship volunteers and CBOs.
Facilitate and Coordinate AP transitions and send Project Closure Comment report with Fare-well Letters to sponsors/SOs according to the sponsorship standards.
Qualifications: Education/Knowledge/Technical Skills and Experience
The following may be acquired through a combination of formal or self-education, prior experience or on-the-job training:
Qualification required: BA/BSc Degree in English, Psychology, Sociology, Management and other related Social Science fields.
Experience: Minimum of 4 years’ experience in child sponsorship management.
Preferred: MA English, Psychology, Development studies and other relevant fields with 2 yrs experience in supervisory levels.
Good knowledge in WV sponsorship programs
Proven Negotiation and Leadership skills
Fluent writing and spoken English
Good presentation, communication and partnering skills.
Good Monitoring and Evaluation Experience:
Working Environment / Conditions:
Work environment: Office-based with frequent travel to the field
Travel: 40% Domestic/international travel is required.
On Call: 25%
