JOB SUMMARY
The Program Support Officer assists the program team to plan and execute activities and ensures that administrative aspects of such activities are addressed in a timely manner. He/she provides both programmatic and administrative support to the entire program and takes the lead in addressing concerns in these areas. The Support Officer assists with preparation and finalization of activity report, presentations, and organizing workshops and meetings. He/she ensures continuous communication among the team on program matters is maintained.
KEY AREAS OF ACCOUNTABILITY
Assist with preparation and/or finalization of project/donor reports. This includes editing, formatting, binding and dispatching to recipients participates in planning activities with the program teams and maintains copies of plans to effectively keep reminders and provide support required to complete these activities;
Participates and provides input in selected training workshops, meetings and events, while taking charge of the documentation processes
Distribute updated appropriate formats & Save the children international guidelines to all ENGINE staff to make adherence of Save the children international regulations
Supports the program team to organize workshops/training, meetings and other events, while providing both administrative and logistical guidance;
Ensures bookings and reservations for travel and meetings/workshops are made in a timely manner;
Oversees planning of staff and program management meetings and events and takes charge of preparation and dissemination of notes.
Maintains a travel log of staff and coordinates transportation to field sites while keeping the Country Office Program informed of any challenges;
Serves as contact point for receiving all communication for program team and dispatching to relevant staff members. This includes collecting documents for Country Office Program signatures and presenting these at agreed upon time/s;
Maintains proper filing of program documents for ease of access. This includes maintaining and updating, HIV Kits, Drugs, voucher, working documents, equipment/asset log and taking responsibility for use of project equipment and vehicle;
Collects staff time sheets and dispatches these to HR while retaining copies for the program files;
In collaboration with Monitoring and evaluation Officer, develop and maintain database of project beneficiaries from all partners and sites, and keep the Country Office Program informed of progress and challenges;
Receives program guests and arranges appointments;
Assists with drafting finalizing and dispatching of partner correspondence;
Represents the Country Office Program in partner meetings and reports effectively on outcome;
Education
A Bachelor’s Degree in social sciences or Management or related field and additional training in secretarial and office management.
Experience
0-2 years of experience in project support, secretarial services and office management with reputable NGO.
Skills
Ability to work independently; proactive, self-starter, self-driven and ability to work in a team setting.
Excellent interpersonal, communication and language skills, including ability to prepare/edit reports in English.
Good computer skills and ability to use Word, PowerPoint and Excel.
Good skill in emotional intelligence and continuous self-learning.
Good time management skill.
