Ethiopian Agricultural Commodities Warehousing Services Enterprise (EACWSE) is established through the Council of Ministers Regulation No. 331/2014. EACWSE is mandated to separately and independently handle warehousing services of agricultural commodities as an offspring of the current Ethiopia Commodity Exchange. EACWSE has the objective of providing innovative warehouse management service to customers and stakeholders through the application of best practices and available technologies.
Therefore, the Enterprise invites competent and qualified External candidates for the following position(s).
Job Purpose:-Ensures that the work flow and documentations of tasks are carried out in accordance with the provisions of the property admin manual; Participates in the design of work processes and manuals of the property management system;
Duties & Responsibilities
· Assist in the revision and/or development of work processes and manuals of the property management system;
· Assist in providing awareness regarding property admin procedure to the work units and staff members of the Exchange as required;
· Establishes the maximum and minimum stock level for each stock item as required and requests the purchase of materials when they are below the required level;
· Checks and receives goods against purchase orders, suppliers invoices and or packing lists, and ensures that the goods are in good condition before receiving them;
· Reports immediately to the Supervisor whenever there are missing, damaged, broken or spoiled items, and writes the condition on the relevant goods receiving note;
· Keeps under his/her custody all materials, supplies, spare parts, commodities, fixed assets, etc. found at the central store of the exchange;
· Keeps track of the master budget file in dispatching items from the store;
· Issues materials, supplies, items, etc. to requisitioning units upon receipt of duly signed requisition format;
· Dispatches all items/materials against official Store Issue Voucher;
· Prepares all necessary accounting documents including SIV and dispatches them to the General Accounts Unit in a timely manner for financial recording;
· Designs appropriate storage arrangements in the stores for efficient utilization of the available space, and to allow easy movement of people in the store;
· Gives identification labels to shelves or racks and sorts out all goods received by types and according to their classifications, and stores them by allocating available space of the store economically and diligently;
· Ensures the security of materials in the store against damage, theft, deterioration, pilferage, hazards, such as dirt, fire, rain water, etc. and makes sure that the store is kept neat and clean;
· Identifies and reports slow moving, dead or obsolete inventory items;
· Records all incoming and outgoing goods in bin cards. Bin cards are to be stuck or hung on the shelves to facilitate identification and inventory counting;
· Makes all the necessary planning and arrangements for periodic physical inventory count at regular intervals to ensure that physical inventory and bin card balances always tally;
· Lead loading, unloading of items/materials and informs the supervisor of any storage problems;
· Files properly all documents such as purchase requisitions, purchase orders, store receiving and issue voucher, suppliers packing lists or delivery order;
· Periodically check records against stocks held and submits report;
· Maintains an accurate record of all-stock movements and current balances;
· Ensure the assignment of Property Identification Number to Assets (PIN) and Makes sure that all fixed assets of the Exchange are tagged before their issuance;
· Ensure the recording of Fixed Assets on user control cards (UCs);
· Conducts periodic impairment reviews on properties/assets; and forward recommendations as required;
· Prepares and reports year end Stock Inventory Summary and Fixed Asset Annual Inventory Summary;
· Performs other duties as assigned by the immediate supervisor.
Required Education and Experience:
· BA degree in management, accounting, marketing, supply chain management or related
Field with 3 or more years of work experience in similar responsibility/ managing store.
· Knowledge on Property & Inventory Management practices;
· Knowledge on Inventory management/store management
