In Ethiopia, GIZ has been working for more than 50 years in bilateral cooperation on behalf of the German Federal Ministry for Economic Cooperation and Development (BMZ) and on commission of the Ethiopian government and international donors. GIZ Ethiopia is looking to recruit an Internal Service Officer for GIZ Office as specified below.
Position: Internal Service Officer
Remuneration: As per the GIZ scale

Overall Responsibilities:
The Internal Service Officer is responsible for
· Assist Facility Management
· Assist Car Pool and vehicle maintenance
· Assist Security and work Place Safety – Fire And First Aid
· Support Receiving and Dispatch For Purchasing Section
·Support Store Management and Central Stationary
· Support Inventory Support For Finance Department
· Support archive and consumables Management
· Initiate and analysis projects and documentation of process
· Other Duties / Additional Tasks
Tasks:
Analysis documentation and continuous improvement of work procedures and processes within the department in close co-ordination with the Head of Department and other departments at GDCO.
Active collaboration in new GDCO procedures of defining Service Catalogue for internal services.
In addition to these overall tasks the Internal Service Officer is required to undertake the following duties as directed by the department head:
1. Facility management related tasks
1.1 Assist monthly building inspection and maintenance for GDCO building
1.2 Support property and compound for both GDC building and GIZ guest house
1.3 Identifies the need of all kind of repair and maintenance and initiates same in consultations with department head.
1.4 Follow up and effect monthly utility payments
1.5 Follow up, where necessary, visiting contractors particularly those doing maintenance and representatives of utilities /water supply, electric and telephone lines/ and monitor any work being carried out over the weekend or after working hours.
1.6 Analysis and Documentation of processes of projects
1.7 Documents and files properly completed orders
1.8 Monitors release of goods and further processing
1.9 Organises and coordinates the collection of goods
2 Car pool related tasks
2.1 Assist Dispatch drivers and tasks
2.2 Assist the various department of GIZ Office with transportation requests
2.3 Assist Fuel consumption report
3 Vehicle maintenance
3.1 Support all GIZ office Addis Ababa vehicles maintenance and safety
3.2 Technical supervision of GIZ office vehicles
3.3 Support in annual vehicle inspection according to the regulation for all GIZ office Addis Ababa
3.4 Assist at the garage requirements and makes sure that the office has the right maintenance and service partner
4 Work place safety fire and first aid services
4.1 Administer fire extinguisher
4.2 Manages the fire safety and drill checklist
4.3 Check the facilities and equipment /for example, checking for fire hazards, obstructions, blocking emergency exits/
4.4 Administer and makes sure first aid kit is available regularly and refills accordingly
5 Support reception and airmail handling services
5.1 Follow up on the services delivery of reception and air mail handling
6 Cleaner/ messenger services
6.1 Make sure office refreshment services such as the provision of water, tea /coffee
6.2 Make sure office errands and messenger tasks
6.3 Assist the supervises tasks given to this group of colleagues at office work and event support
7 Labor support and event realization
7.1 Support in facilitation and over sees labor request coming from the different departments
7.2 During the absence of department head, supervise subordinate staffs.
7.3 Perform any other duties as may be requested.
7.4 Arranges for the safe transfer of goods to their destination
7.5 Notifies projects and programmes of delivery location and time
7.6 Processes cases of damage in transport
7.7 Documents and files properly completed orders
8. Reporting and duties/additional tasks
The Internal Service Officer
8.1 Produces and continuously updates a monthly report on open tasks in the department
8.2 Performs other duties and tasks at the request of Department Head and Management.
Required Educational qualifications, professional experience and competency
·University degree in Business Administration or related field.
·A minimum of 5 years relevant occupational experience; expertise in the necessary field or equivalent combination of both
·Knowledge of English language both in speaking and writing.
· Possession of grade 3 valid driving license
· Good working knowledge of ITC technologies (related software, phone, fax, email, the internet) and computer applications (e.g. MS Office)
