Background

GIZ promotes complex reforms and change processes.
In Ethiopia, GIZ has been working for more than 40 years in bilateral cooperation on behalf of the German Federal Ministry for Economic Cooperation and Development (BMZ) and on commission of the Ethiopian government and international donors.
The Better Migration Management (BMM) project aims to respond to an overall objective to improve migration management in the region, and in particular to curb the trafficking of human beings and the smuggling of migrants within, though, and from the Horn of Africa. The BMM project is implemented by the Deutsche Gesellschaft für Internationale Zusammenarbeit (GIZ) GmbH in partnership with European and International agencies, such as IOM and Expertise France.
The BMM project is an example of cooperation between the European Commission and the German Federal Ministry for Economic Cooperation and Development (BMZ).To facilitate the implementation of the BMM project, GIZ is recruiting Finance and Administrative Assistant to be based in Addis Ababa under the supervision of the BMM Country Coordinator to assist in BMM implementation in Ethiopia and Djibouti.

Responsibilities
The Finance and Admin Assistant for the Better Migration Management (BMM) Program is primarily responsible for:
§ Assisting BMM Finance and Administrative Officer with her tasks as instructed
The Finance and Administrative Assistant performs the following tasks, under the supervision of and in coordination with the finance and administrative officer:
Tasks
Financial
· Assists with creditor and debtor administration, including local subsidies and agreements with national appraisers
· Ensures the appropriate deduction of withholding tax and declaration of that monthly to the tax authority
· Conduct cash book and bank book management
· Undertakes various administrative aspects of financial management, including but not limited bank withdrawals, and Check preparation;
· Complies bank reconciliation and petty cash reporting on, at least, a monthly basis; and
· Stores, arrange, index and classifies various BMM financial records
Administrative
· Facilitating the development of filing systems for BMM administrative and financial documentation and maintains these files to meet relevant administrative, legal, and financial requirements;
· Purchases office equipment and supplies within set value limits;
· Photocopies and scans documents, as needed;
· Organises and compiles program-specific visibility, information ,and research materials, as directed;
· Labels files in accordance with GIZ filing rules;
· Completes forms and tables in accordance with specific instructions;
· Helps prepare and documents service requests and related inquiries;
· Book Flights and makes Hotel and other travel reservation, as directed and in close cooperation with relevant BMM staff members; and
· Maintain the BMM filing system, under the close supervision of the Finance and Administrative Office.
Other Duties and tasks
· Assists other colleagues as needed in the BMM programme or office;
· Travels to other BMM offices to assist, as needed; and
· Carries out other office work on request
Required qualifications, competences and experience
Qualifications
· University degree in Accounting, Business Administration, Management or related field.
· Excellent written and verbal communication skills;
· Strong organizational skill;
· Substantial experience using information technology (IT) tools, such as Microsoft applications, e-mail, and the like.
Professional experience
· At least 2 years’ of professional experience in a comparable position
Other knowledge and, additional competencies sought
· Strong written and spoken English
· Fluency in Amharic, and Knowledge of a knowledge local language would be a plus;
· Willingness to up-skill as required; and
· A knowledge of accounting software would be desirable
