GIZ- CPS Program
Background
As an international cooperation enterprise for sustainable development with worldwide operations, the federally owned Deutsche Gesellschaft für Internationale Zusammenarbeit (GIZ) GmbH supports the German Government in achieving its development-policy objectives. GIZ promotes complex reforms and change processes.
In Ethiopia, GIZ has been working for more than 40 years in bilateral cooperation on behalf of the German Federal Ministry for Economic Cooperation and Development (BMZ) and on commission of the Ethiopian government and international donors.
Germany’s Civil Peace Service (CPS) operates in many regions around the world. It deploys trained peace experts who work with local partners in the long term. In Ethiopia, the CPS takes a systemic approach to conflict transformation working across different sectors and on the local, regional and federal level.
In order to achieve its objectives, GIZ CPS it is looking for a Professional Administrative Assistant to support the CPS Program Office in Addis Ababa. S/he will work in a team with the Finance & Administration Officer and Facilitator under the supervision of the Programme Coordinator.

Place of Work: Addis Ababa, with occasional travel to the regions

A. Responsibilities
The Administrative Assistant is responsible for:
· Providing administrative support to the GIZ CPS program office in accordance with GIZ’s rules and regulations.
Within the above context, s/he fulfils the following tasks:
Main Tasks
· Deals with procurement, bills and contract processing
· Organizes events for the GIZ CPS such as workshops, staff meetings
· Books airline tickets and makes hotel reservations for staff members, partners and guests of the Program when instructed
· Support to inventory updating for incoming and outgoing assets
· Assists in checking for correctness and completeness of financially relevant documents e.g. settlements, payment requests, travel reimbursements etc. and processing with GIZ Country Office
· Provides assistance in accounting and banking related matters
· Assistance regarding information exchange between the GIZ CPS and the German Development Cooperation Office and CPS partner organizations (through email and phone)
Other Duties/Additional Tasks
· Assists in and/or carries out other duties and tasks as assigned
A. Required Entry Qualifications and Competencies
· College or University diploma in Business Administration or in similar fields of study
· Minimum three years of relevant experience
Other Qualifications/Merits:
· Good organizing skill s/ self-motivated, and keeping track of procedures autonomously
· Good team working ability
· Good communication skills, personal, electronically, and on the phone
· Fluency in written and spoken English, and Amharic and possibly other local language
· Good working knowledge of modern telecommunication systems
