CARITAS Switzerland (CACH) has been working in Ethiopia for more than 30 years. Currently CACH cooperates with four partners in Ethiopia. Recently, CACH has successfully been registered as an International Non-Government Organization in Ethiopia and has therefore become operational at project implementation level. CACHs main working fields are: the field of agricultural development and food security, WASH as well as supporting and implementing emergency and relief operations. Our current working areas are in Tigray, southern and Eastern Oromia and in the Somali Region. CACH supports and implements currently about ten projects in these regions.
Summary of Duties
The Office Assistant will be responsible to manage the office reception of the organization’s head office in Addis Ababa by providing information for partners, clients and guests. She/he also responsible for all tasks related to a smooth function and appearance of the office. The incumbent will follow up on payment of various office utilities (electricity, internet, telephone…) and responsible for the management and handling of small office petty cash. She/he will also take the functions of liaising with service providers and government office as assigned by the immediate supervisor. She/he will work under direct supervision by the Office / Operations Manager.
Main Areas of Responsibility
Provide good reception and information for all persons who visit the Organization’s office in Addis Ababa;
Be responsible for the management and handling of small office petty cash. Keep office cash in safe box and be responsible for its management;
Take overall responsibility for purchase of office supplies and utilities;
Keep payment documents of regular expenses and settle with Finance Manager;
Supervise the office cleaner and maintain a proper office environment;
Be responsible for making all travel arrangements (flights, hotel bookings, etc.) for HQ and all in-country staffs as deemed necessary;
Assist the Office / Operations Manager and Finance Manager in maintaining appropriate filing system and properly manage the general office files;
Follow up on payment of various office utilities (electricity, internet, telephone etc.).

Job Requirement
A college Diploma / BA Degree in Management, Business Administration, and Accounting, -supplies management or any other related field. Bachelor degree in one of these or related fields is an advantage;
Minimum of three years’ relevant experience in similar organizations for diploma graduates, and two years for bachelor degree graduates;
Successful and proven experience in managing multiple tasks in a modern busy office environment;
Ability to work with computers (MS Word, MS Excel, MS Power Point, MS Out Look);
Able to operate office machines such as scanner, printers, others;
Excellent communication and team-working skills, with the ability to build good relations, both internally and externally;
Commitment to the vision, mission and values of the CARITAS Switzerland;
Ability to act as a part of a multi-cultural and multidisciplinary team;
Ability to represent the Organization and negotiate in its name;
