In Ethiopia, CRS has a long and rich history of providing emergency relief and development assistance to the people of Ethiopia since 1958. At present, CRS/Ethiopia implements multiple projects through different partner organizations. CRS/Ethiopia has a highly diverse portfolio currently focusing on community-based food and livelihood security through activities in agriculture, health, peacebuilding, WASH, emergency relief, and savings and lending. CRS is active in nearly all regions of Ethiopia: Tigray, Amhara, Oromia, Southern Nations, Nationalities, and Peoples' Region (SNNPR), Somali, Benishangul Gumuz, Afar, and Dire Dawa Regions.

Purpose of the Position:
Key /Specific Duties and Responsibilities:
2.1 Performing data entry activities
§ Enter commodity data into the food-log program;
§ Enter shipping information Packing List Information, Bill of Lading and other shipping document information in to Food log.
§ Enter way bill information related with delivery to four filed offices which includes Nazareth, Dire Adwa, Kombolcha and Mekelle.
2.2 Follow up and dispatch of reports/information
§ Receive commodity dispatch information and documents from four field offices and enter the required data from the documents in to food log on timely for review and accurate report generation purposes.
§ Enter distribution centers information into food log and ensure that the information entered are accurate.
§ Create spreadsheets with large numbers of figures without mistakes.
§ Update existing data for centers, donor, agencies, port, and regions and ensure that data are accurate for reporting.
§ Retrieve data from the database or electronic files as and when requested
§ Assist in the regular backups as per the internal procedure to ensure data preservation and ensure that the back data is stored.
§ Sort and organize paperwork after entering data to ensure it is not lost.
2.3 Filling of documents
§ Files all Packing Lists, B/Ls, Waybills, Dispatch documents into the respective PL files along with the food-log printouts;
§ Files all correspondences.
§ Registers and sends any closed files to archive.
§ Arrange all shipping documents and commodity accounting as per the organization policies and procedures for proper retrieval.
2.4 Undertaking secretarial activities
§ Sends/receives e-mails and faxes as requested by the department
§ Facilitates communication by collecting, photocopying and distributing memos, letters, faxes, reports, etc.;
§ Performs other related duties as required.
§ Completion of College Diploma
3.2. Experience:
§ Knowledge of computer systems and operations
§ Knowledge of data entry methods and procedures
§ Ability to organize and schedule data entry work
§ Ability to operate computer S/W packages relevant to the work
§ Skill in the operation of computer and peripheral equipment
§ Basic secretarial knowledge
