JOB SUMMARY:
Under the supervision and guidance of the field office, the Assistance Logistic Officer is accountable for the timely and efficient procurement of goods and supplies in accordance with timescales set and agreed with program staff and polices, and procedures and coordinate for management and arrangement of vehicles for staff, and visitors.
KEY AREAS OF ACCOUNTABILITY:
Accumulate/gather purchase requests from staffs and maintain a comprehensive register of Purchase order
Proper recoding of procurement tracker and update to requester and budget holder
Establish minimum stock amount for office items and initiate purchase request before the stock level goes below minimum stock
Ensure the registration of stock and fixed assets of the field office in the database and update them when necessary
Conduct regular market surveys of goods and services, establish and maintain a well-defined Supplier database by initiating tender processes on standard items purchase regularly with the goal to establish standard frame contracts with main dealers and qualified and committed suppliers
Ensuring that purchase payments are effected timely; and goods are delivered in accordance with timescales set and agreed with programme coordinators; ensure that after sale services are given by the suppliers, warranty period is maintained to the advantage of SC
Conduct regular procurement needs of the field office and market analysis of these required items and provide quarterly compiled reports to immediate supervisor
Coordinates the planning of field trips and facilitate and dispatch cars for staff and visitors who travel for different purposes related to the work of the organization accordingly
Conduct organizational duties in accordance with the rules of the Child Safeguarding Policy, in personal and professional lives – which includes reporting suspicions of child abuse;
Ensure that all activities are not putting children at risk or further risk, this means constantly scrutinizing the activities through a child safeguarding lens;
Promote the message of child safeguarding to colleagues, and community members in general;
Be vigilant (alert ) about observing possible child abuse/harm,
Ensure that all agreements includes child safeguarding policy and the partners and or suppliers should understand child safeguarding policy content and sign for respecting;
Perform other related tasks as requested by the immediate supervisor
