Save the Children has a small global advocacy office in Addis Ababa (alongside offices in Brussels, Geneva and New York) that is registered with the Ministry of Foreign Affairs under the name of “Pan African Office”. The office has responsibility for (i) engaging with international and regional institutions such as the African Union Commission and the United Nations Economic Commission for Africa, and (ii) providing support to Save the Children programmes across the African continent. The office also hosts a number of technical advisors who are focused on a full sub-Saharan Africa portfolio.
Role Purpose
The Admin Intern will carry out the day-to-day administrative tasks of the Addis office and will closely work with the office coordinator.
KEY AREAS OF ACCOUNTABILITY:
Assists in arranging flight booking and hotel accommodation for staff and guests as requested.
Assists in photo copying, scanning and binding of documents with at most attention to confidentiality.
Assists in organizing seminars/workshops, arrangement of necessary stationary materials and confirmation of participants list.
Initiates purchase request and placement of all necessary office refreshment items.
Assist in collecting price quotations
Maintains document confidentiality while receiving/issuing incoming/outgoing letters.
Provide secretarial services to program and administrative staff when required.
Support in processing Visa and Residence ID for SCI PAO Guests and employees.
Ensure an attractive, pleasant and neat front desk area is maintained at all times.
Receives and assists visitors of the office courteously, answers queries and provides information while being as prudent as possible
Regularly organize notice boards at the reception area.
Receives all incoming telephone calls
Makes official phone calls on behalf of staff members.
Maintains external telephone directory for Save the Children International AU Liaison and Pan Africa Office main stakeholders.
