The Position: The World Agroforestry Centre seeks to recruit a Project Management and Outreach Officer will be handling the Management, coordination of administrative support functions and outreach activities, including monitoring of capacity building efforts, training, extension and marketing.
General: The World Agroforestry Centre (also known as the International Centre for Research in Agroforestry-ICRAF) is an independent research institution which generates science-based knowledge about the complex role trees play in agricultural landscapes and rural livelihoods. As part of the Centre’s work to bring tree-based solutions to bear on poverty and environmental problems, researchers – working in close collaboration with partners – are developing new technologies, tools and policy recommendations for increased food security and ecosystem health. Key Responsibilities:
The Project Management and Outreach Officer is responsible for managing and coordinating all administrative support functions in the project office, including procurement, registration and maintenance of vehicles, equipment and utilities;
Responsible for all practical and data compilation aspects of capacity building, and for outreach within the project;
Responsible for the practical organization and implementation of project training courses, seminars, meetings and extension events as outlined in the Project Implementation Plan (PIP) and the annual work plans;
Responsible for the coordination of publishing and distribution of training, information and extension materials for project capacity- and outreach activities;
In collaboration with the Seed Procurement Officer, the Seed Source Officer and the Regional Seed Centre Heads responsible for coordination and monitoring of extension, training and marketing activities;
The Management and Outreach Officer will be responsible for coordination of capacity-building and outreach activities with Ministry of Environment, Forestry & Climate Change (MEFCC), Ethiopian Environment & Forestry Research Institute (EEFRI) and other projects or programmes with which Provision of Adequate Tree Seed Portfolios (PATSPO) collaborates;
The Management and Outreach Officer is answering to the ICRAF Country Representative (ICR) and the Senior Team Leader (STL).
Other Responsibilities:
The duties of the Project Management and Outreach Officer will be in close collaboration with the other ICRAF staff, including the following duties:
Manage administrative issues of ICRAF in collaboration with the PMT, ICRAF Nairobi and ILRI;
Manage the project office and supervise support staff;
Handle procurement requirements in liaison PMT, the accountant and ILRI;
Arrange travel and logistics for programme project staff and consultants;
In collaboration with the project accountant support the PMT to prepare and manage stakeholder contracts and closely monitor performance and payments;
Manage relationships on administrative matters with all project stakeholder;
Oversees the maintenance of effective programme filing and documentation systems;
Establish, keep and update the fixed asset register;
Based on the PIP prepare and implement organize and implement capacity development- and outreach activities in close collaboration with the technical project staff and resource persons from other institutions;
Support the preparation of and follow up on the relevant parts of PATSPO budgets;
Liaise with MEFCC, TSTC, the RSCs and other relevant partners in planning, coordination, and supervision of extension and training activities;
Prepare and maintain register of important Ethiopian institutions, organizations and offices engaged in natural resource management, as potential receivers of information from ICRAF;
Prepare short quarterly ‘newsletter’ on ICRAF activities and achievement;
Distribute ICRAF information according to register of receivers;
Assist in the practical implementation of all planned activities of ICRAF.
Education:
At least BA degree in Management or Business Administration. General knowledge of project management and outreach activities.
Experience:
A minimum of 5 years relevant working experience including experience project management and in planning and organizing training activities, seminars, extension arrangements, etc.
Experience from working with ICRAF in Ethiopia on capacity building and outreach projects and/or experience from similar positions elsewhere will be considered an additional advantage.
Skills:
Familiarity with development and relevant techniques in the subject matter
Ability to plan work and multi-task, work under pressure and meet targets
Proficiency in MS Office
Ability to analyze data and prepare progress records and reports; Prepare, circulate and follow up various reports
Manages staff in their day to day activities
Updates relevant manuals/protocols
Flexible on work hours including travel and extended field work
Follows policies and procedures
Prepares progress reports for review
Aware of impact of own work
Duty Station: Addis Ababa, Ethiopia
Grade: 2C
Minimum Base: Birr 16,616.00 (Negotiable depending on experience, skill and salary history of the candidate)
Terms of appointment: This is a Nationally Recruited Staff (NRS) position, initial appointment is for three years with the possibility of renewal, contingent upon individual performance and the availability of funding.
