Act as the point of contact between executives and internal/external clients
Assist Operations staff with set up and break down of temporary and extended occapancy housing used by staff
Facilitate and coordinate wiht Operations staff for travel scheduling of the employer and employer staff.
Updating methods and policy and procedure with Operations staff
Primary scheduler and point of cintact for CEO. Will cooridnate with Operations staff if necessary.
Manage and facilitate all classroom scheduling including holidays, lunch breaks, classroom break and evacuation in case of emergencies. Coordinate with tech team
Assist marketing team with event planning and coordination of promotional events
Assist Operations staff with scheduling,coordination and management of company trainees
Contribute to short and long-term organization plannning and strategy as member of the management team
Keep organized soft copies of all letters and requests mande by employer
Inspect classrooms when entering in the morining to make sure there have not been any overnight occurrences. Get report from security
Insure that all doors are locked upon leaving the office at the end of the night shifts
Handling of petty cash for front office
Managment of security staff and cleaning staff
Manage and track office and admin supplies and keep record of all inventory accordingly. Communicates wiht Operations staff when inventory is low and replenish stock when approved
Work with accountant to track overall finances of employer and provide oversight and support
Maintain work dairy and detailed accounts of any transpiration that may occur at the office. Log specifically any problems or occurrences that executive staff should be aware of.
Act as primary point of contact for visitors, trainees and staff with respect to employer procedure. Screen guest accordingly and communicate with security and directives.
Develop and maintain a filing system of all administrative records including but not limited to ; student records, staff write-ups, employee records tuition records and receipts, trainee applications,scholarship trainees, invoice and all formal inquiries
Assist the executive team in preparation of regularly scheduled office report during weekly meeting. Give feedback to staff about any office operations, problem or proposed changes
Compile daily receipts and expenses and organize for accountant
Maintain and update all duties on office computer to keep soft records including utilizing all executive management software
Communicate any relevant information to reception staff at shift change
Job Requirement
BA in Management,Business Administration , IT or other related field.
More than 3 years experience as office manager or Reception.
Has excellent experience in Customer Service
Can be flexible and has a good communication skill.
