IntraHealth International, Inc. is currently implementing TRANSFORM/ Health in Developing Regions (HDR). This is a USAID-funded project led by Amref Health Africa in Ethiopia. The project aims to achieve increased utilization of quality MNCH/FP services in Afar, Benishangul-Gumuz, Gambella and Somali regions of Ethiopia through increased access to integrated MNCH/FP services at health facility and community levels and strengthened health systems.
SUMMARY OF ROLE
The Admin and HR Assistant provides support related to administrative & Human Resources functions. S/he works with the project team in facilitating and supporting in the operational activities including logistics management and efficient utilization of project resources including project assets, equipment, and vehicles. S/he assists the recruitment of new hires, HR record keeping and the onboarding process.
ESSENTIAL FUNCTIONS
Procurement (30%)
· Assist the program Manger in procurement, inventory and maintenance and insurance coverage of office assets and equipment, including leases and vehicles.
· In consultation with the program manager prepare procurement requests and bids for all project procurements.
· Assist with consultant hiring including maintaining database for all consultant documents, ensuring the documents received are correct and payments are made to all in-country consultants.
Human Resources (25%)
· Handling inquiries regarding Administration and HR issues
· Assist in orienting new staff, ensuring new staff have all needed equipment, supplies and email accounts, and communicating with HQ about new hires.
· Work with the HR business partner to ensure the accuracy and completeness of personnel files and keep the confidentiality of all information in it.
· Work with the HR Business partner and the Program Manager ensure the creation and maintenance of personnel files, hiring, compensation issues, leave schedules, timesheets, severance issues, staff management and other personnel paperwork.
· Assist the HR business Partner in human resources is recorded and regularly updated on Ultipro.
Operations(30%)
· Maintain up-to-date asset inventory log per USAID and IntraHealth requirements
· Work with the Finance Officer to ensure that vehicles and assets are properly insured and licensed, and repair, replacement and disposal of all office supplies, utilities, equipment and assets are done according to approved procedures.
· Together with the program manager, ensure compliance of administrative policies (e.g. travel policy, per diem policy, etc) and maintain and update in-country administrative policies as needed.
· Serving as liaison with landlords, maintenance and security services and related vendors for project office space.
