ROLE PURPOSE:
The project Support Officer will be responsible for providing project and administrative support for the INSPIRE Project. The candidate should also fully and efficiently organize different workshops, meetings and trainings that are conducted under INSPIRE Project. Facilitate and coordinate all purchase requests that arrive from field office and follow up the progress in close integration with procurement unit. In addition, facilitate the logistic arrangement at EtCO to distribute the purchase items to field office timely. Overall, support the project in different scope. Manage and provide administrative support and coordination to the INSPIRE project
SCOPE OF ROLE:
Reports to: INSPIRE project Director
Dimensions: Save the Children works in 9 regions in Ethiopia with a current staff complement of approximately 1600 staff and current expenditure of approximately $90+ million each year.

KEY AREAS OF ACCOUNTABILITY:
· Organize workshops and trainings of the project.
· Support the trainings conducted in sub-offices and satellite offices.
· Follow the annual training plan of the project and alert responsible staff for any deviations from the plan.
· Organize and archive project related documents both in hard copies and soft copies.
· Support the north hub procurement manager on project related logistics and procurement issues.
· Provide administrative support to the INSPIRE project director and its country office staffs.
· Also provide administrative support to the POD-North Hub
· Prepare, organize and assemble the agenda of INSPIRE project meetings.
· Record and compose minutes of the INSPIRE project meetings;
· Custodian of the INSPIRE project seal and project records and documents.
· Prepare and certify resolutions and other records documenting decisions by the project Director
· Facilitate travel arrangements of the INSPIRE project DIRECTOR and POD-North Hub.
· Administer the development and implementation of records management procedure intended to standardize filing system, protecting, and retrieving records, reports, and other information contained on paper
· Assist the project director with drafting supporting letters for relevant government department and partners.
· Maintain/update calendars, schedules appointments and meetings.
· Answer, and screen telephone calls; receives and delivers messages; and responds to queries of a non-scientific/non-policy nature.
· Facilitate various INSPIRE project related requests from staffs from sub-offices and other departments and units.
· Liaise with logistics, admin, IT, procurement, and other units to facilitate smooth flow of project related activities.
· Manage filing systems.
· Performs other related tasks as required by INSPIRE project director.
QUALIFICATION AND EXPERIENCE
· BA/College Diploma in Management/ or related from a recognized college
· 2 years of project assistant/secretary role preferably in NGO setting for degree holder or 4 years if Diploma holder
· Having excellent proficiency in spoken and written English with strong interpersonal skills and demonstrated ability to lead team effectively.
· Have commitment to work longer hours/weekends or on remote field visits whenever needed.
· Ability to draft various letters.
