Job Purpose: To provide clerical support to others in the office to maintain clean and efficient office environment
Responsibilities
Office support
answer phones and transfer to the appropriate staff member
take and distribute accurate messages
prepare outgoing mail for distribution
fax, scan and copy documents
maintain office filing and storage systems
retrieve information when requested
type documents, reports and correspondence
assist with event planning and implementation
requisition and maintain supplies and equipment needed for cleaning and maintenance duties
ensure office equipment is properly maintained and serviced
prepare tea and coffee and serve staff members and guests
perform work related errands as requested such as going to the post office and bank
Janitorial service
clean office building floors by sweeping, mopping, scrubbing or vacuuming them
gather and empty trash
service, clean and supply restrooms
monitor office rooms security and safety by performing such tasks as locking doors after operating hours
notify the operation team concerning the need for repairs and maintenance
prepare facilities for events and meetings
clean and polish furniture and fixtures
clean windows, glass partitions and mirrors
keep office area clean and tidy
Central Admin responsibilities and other areas of responsibilities
Assist the Operations team in procurement and asset management related activities
Work together with other members of the team to ensure that organizational systems are complied with
Provide cover for colleagues as necessary and undertake other activities commensurate with the level of responsibility of the post as and when requested
Job Requirement
Minimum high school diploma and two years of relevant experience
Working knowledge of office devices and processes,
Good written and verbal communication skills,
Basic computer skill,
Sensitivity to cultural differences and able to interact with people at all levels of the organisation,
Able to work with others in a consultative way,
Ability to withstand and resolve conflict,
Commitment to VSO’s work and values,
Able to anticipate and adapt to change,
Strong attention to detail,
Self-motivated to Minimum high school diploma and two years of relevant experience
