Line Manager Associate Director - Operations
Overall Objectives for the Job
To assist the Associate Director-Operations in planning and managing material and property transaction of ICAP-E
Major Duties and responsibilities
· Plan, organize, and coordinate receiving and issuing of all materials,
· Ensure that optimum level of inventory is maintained,
· Maintains proper materials transaction records and minimum re-order level, minimum stock levels for each item, prepares periodic request and alerts the concerned for its procurement;
· Managing records of all stock and inventory and make sure that receiving and issuing vouchers are used for each materials transaction and posted to the stock/bin cards,
· Maintain independent stores ledger card to record materials or items received, shipped or distributed on a real time basis and in accordance with established procedures.
· Reconcile the balance of the Stock ledger/card with that of the bin cards and with the actual balance at least every quarter.
· Collect Good Receiving Note (Model 19 forms) for each and every material sent out to health facilities and other recipients. Keep itemized documents for each material support.
· Coordinate the materials distribution activities. Ensures and follows up that acknowledgement receipts for goods delivered to respective places are received
· Ensure that proper safety precautions are taken. This includes timely renewal of insurance, periodic assessment of insurance policies to ascertain adequacy, inclusion of newly acquire items in the insurance, installation and timely refill of fire extinguishers, implementation of gate pass, etc.
· Ensure that appropriate documentations are maintained for the materials supports provided to health facilities.
· Make sure that property tag are affixed on all properties provided to staff and maintain and update records of Property Log Sheet for all properties provided to staff
· Report status report to the A/Director of operations on a monthly basis.
· Perform other duties as assigned by the immediate supervisor.
Bachelor of Degree in Purchasing & Supplies Management, or Management, or related field and 5 years of experience relevant experience.
