Employee Position Summary
This position is professional officer position in IMC Ethiopia, and works at the direction of the IMC Operations Director but provides IT Support Service to all IMC staff including project offices. The position holder will also facilitate training for IMC staff to build their IT capacity; conduct an assessment on the existing IT network, plan and coordinate the provision of proper safety mechanism to protect the organizations system from damage. Plan and coordinate the maintenance of computers; and be responsible for the overall professional management of IMC Ethiopia It task.
Job Description/Responsibilities:
· Interconnect all field offices, HQ and Spilt offices with Addis office through VPN and WAN or alternative mechanism.
· Design ICT related infrastructures such as data and telephone network systems and services as needed
· Follow up the installation and implementation of all ICT related
· Monitor the network system and detect and act on vulnerabilities to ensure that systems are secure from virus threats and security risks.
· Monitor technology and services in country and advise management on upcoming changes and recommended upgrades.
· Assess system utilization in relation to available services and recommend necessary changes.
· Coordinate with other units and departments upon the establishments of new office setup including the subscription, termination and move of office and individual communication services (Telephone, DSL, Internet, EV-DOs…)
· Continually monitor and maintain efficient communication services for all offices. Provide in service technical support and maintenance on all IT related equipment and services
· Establish and operate a robust help desk system that provides timely, customer-friendly, well-communicated and logged ICT support service to the Ethiopia Mission by integrating the IMC General IT support service desk and remote desktop supporting software such as Team Viewer.
· Assess, improve implement and maintain a disaster recovery plan that enables restoration of all systems to operational status at all times in all regions.
· Provide support on software use by project staff and ensure that any necessary changes or required patches are applied efficiently.
· Develop standard operating procedures and best practices including providing written protocols and guidance to end-users.
· Ensure all office equipment are maintained regularly. Maintain a stock of spare parts and spare hardware to enable this and act as the primary contact person for all office equipment maintenance.
· Provide support and maintenance of all equipment including printers, photocopiers and scanner for all offices.
· Lead, participate and coordinate country mission management as well as field site and country office project/line managers during program development or implementation process for ICT related matters.
· Regularly follow-up with finance on available budget for IT equipment/Service as well as equipment maintenance and repair budget line and coordinate with respective units/budget holders to propose spending plan in line with donors rules and regulations, project implementation plan as well needs observed in the country mission
· Provide technical assistance, supply appropriate specification and evaluate vendor offers when requested by the procurement unit.
· Maintain efficient telecommunication services for all offices and manage the overall electrical and power system of the organization
· Making sure of newly employed or visiting guests are fully set-up with all ICT equipment and service required for their job
· Perform a full system administration task by administrate, update, modify and manage websites, database system, tracking tools, shared file/SharePoint Sites and resources of the country mission
· Make sure information and contents on the server are regularly backed-up and remind and oversite back-up procedure is performed by end users
· Manage the creation and termination of IMC email and user account,, personal folders, share resource and network access credentials of new or terminated employees
· Ensure the creation and maintenance of all written documentation, including system and user manuals, license agreements, and documentations of modifications and upgrades
· Oversee systems development and enhancement and the integration of new systems with existing systems
· Manage the deployment, monitoring, maintenance, development, upgrade, and support of all IT systems including network infrastructure, servers, PCs, Operating Systems, telephones, software applications and peripherals
· Provide expertise and support during systems upgrades, installations and conversations
· Liaise with suppliers to have hardware/software equipment appropriately maintained and ensure MSH warranty privileges are appropriately utilized.
· Schedule regular field site visits for at least one week in a month for new and/or regular IT support work and consultation
· Establish and maintain a disaster recovery site and resources
· Maintains network administration, ICT services, and IT standards for all operational areas.
· Provide training to IT users on IT use policy, network systems, basic software packages, and other information required for efficient use of information and communication technology.
· Other IT related activities assigned by line manager
· BSc in computer science or related field.
· 8 years progressive experience in IT program design and functionality to support medium to large organizations.
· Microsoft Certification.
· Having other certification is a plus.
