Founded in 1957 as the Flying Doctors of East Africa to bring critical health services to remote communities, Amref Health Africa in the intervening years has broadened its mission to include training of some 500 thousand community health workers and managing the design and implementation of health development projects in more than 30 countries across Africa. Amref Health Africa would like to recruit Archive and File Clerk for its Finance Department based in Country Office.
Purpose of the Job:
To ensure file correspondence, invoices, receipts, and other records in alphabetical or numerical order or according to the filing system used. Locate and remove material from file when requested.
Key Responsibilities:
· Arrangements and properly labeling of all files in the archive after closing of each month.
· Provide document for finance staff and copy when the need for pending reversal.
· Provide document for auditor when they need/any scheduling.
· Responsible to maintain files for financial records agreements.
· Maintain scanned invoices for archive, donor reporting and etc.
· Cancel supporting documents with surrendered and date stamps and cross reference them.
· Ensure financial documents /accounting records attached all supporting document, completed, up to date, orderly,
· Well-kept and readily available for reference when required.
· Proper custody of all finance documents. Chronologically with a good shelf order that will be easily accessible.
· Give immediate respond for any data inquire from concerned finance department staff and staff members.
· Be the go to person for any annual and interim audits/ Various Donor based audits in document providing and returning the documents once the audits are finished.
· Scan or read incoming materials to determine how and where they should be classified or filed.
· Input data, such as file numbers, new or updated information, or document information codes into computer systems to support document and information retrieval.
· Enter information into databases or software programs.
· Sort or classify information according to guidelines, such as content, purpose, user criteria, or chronological, alphabetical, or numerical order.
· Complete general financial activities, such as processing accounts payable, reviewing invoices, collecting cash payments, or issuing receipts.
· Keep records of materials filed or removed, using logbooks or computers and generate computerized reports.
· Find, retrieve, and make copies of information from files in response to requests and deliver information to authorized users.
· Search files, databases or reference materials to obtain needed information.
· Track materials removed from files to ensure that borrowed files are returned.
· Place materials into storage receptacles, such as file cabinets, boxes, bins, or drawers, according to classification and identification information.
· Eliminate outdated or unnecessary materials, destroying them or transferring them to inactive storage, according to file maintenance guidelines or legal requirements.
· Perform periodic inspections of materials or files to ensure correct placement, legibility, or proper condition.
· Assign and record or stamp identification numbers or codes to index materials for filing.
Retrieve documents stored in microfilm or microfiche and place them in viewers forQualifications and Competencies:
