General Responsibilities:
· Performing general project specific support by closely working with logistics, finance, HR and field project staff
· Assisting a specific administrative and project tasks as instructed by the senior nutrition manager
· Assisting with all project specific filing documents in reference files in line with International Medical Corps filing/documentation system
· Manage project activities recording in the data base
· Regularly report to the senior nutrition manager on progress, challenges and constraints of the work
Financial Support:
· Facilitate and follow up the collection of weekly and monthly cash advance requests; facilitate approval process at all level.
· Support on cash advance bank transfer to the respective field project nutrition team
· Assist field project staff on the required document for activities and perdime settlement
· Manage field activities payment with project team when it is required
· Track field monthly budget utilization and provide an input for the monthly pipeline report and projection
· Facilitate project specific expenses document submission to Feed the Future Ethiopia Value Chain Activities country office and follow up for any enquires
Logistics support:
· Facilitate vehicle Work Order (WO), any project related Procurement Requests (PR) approval process
· Follow up with logistics and ensure timely delivery of vehicles to the field and track the vehicle utilization, as per the WO
· Ensure timely delivery of procured items to the field team and facilitate paper work with the logistics team
· Support travel and logistics arrangements for project staff traveling to the field and visitors
· Provide logistical and communication support for activities like nutrition campaigns, invitation letter preparation, distribution (in case of Oromia region)
HR Support:
· Facilitate and support HR tasks such as mobile scratch card distribution
· Facilitate and follow up project staff medical expenses reimbursement
· Track project staff leave and sick days timely utilization
· Facilitate and organize project specific staff recruitment within International Medical Corps
Other tasks
· Perform flexibly any additional tasks to be ordered
· Degree in Business administration, Management and/or in a related field of study
· At least five years of relevant experience in project support/facilitation and communications
· Experience working on USAID funded projects
· Excellent writing and speaking skill in English
· Familiarity with International NGOs operations, coordination structures, and the mandates of donors especially USAID
· Ability to exercise sound judgment and make decisions with limited supervision
· Ability to work independently and meet deadlines
· Extremely flexible, and have the ability to cope with stressful situations and frustrations
· Team player and strong communication skills, both oral and written in English
· Proficient in computer applications, especially with MS Word and MS Excel, MS PowerPoint a plus
