JOB SUMMARY
The Logistics Assistant will provide diverse logistic support necessary for the implementation of the project including serving as liaison between the project’s program staff and the CARE administrative departments (finance, human resources, procurement, etc.); follow-up/tracking of internal documentation; assistance during workshops and training events; driving project staff and visitors to meetings as assigned; delivery and pick-up of correspondence, messages, and other documents in and around Addis Ababa; and completion of other assigned tasks as required.
Responsibilities
1. Driving
§ Provide transport service to project staff meetings during and after working hours as required.
§ Delivery and pick-up of correspondence, messages, and other project-related documents in and around Addis Ababa
§ Transport project staff and guests to and from the field and within Addis Ababa as assigned.
§ Responsible for the safety of the vehicle assigned, including its tools and accessories;
§ Ensures that assigned vehicles are kept clean and usable at all times;
§ Check oil, fuel, water, tires, brakes and other systems before starting driving the car;
§ Follow up maintenance need of the vehicle and promptly reports back to immediate supervisor;
§ Make sure that he/she drives with in the speed limits set by CARE and according to traffic regulations;
§ Make sure to wear seat belt and always asks and ensures that his/her passengers wear seat belt;
§ Reports accidents timely to his/her supervisor and CARE Transport Section
§ Ensures validity of his/her driving license.
2. Administrative Liaison
§ Support the project Administrative Assistant to prepare, submit, track and follow-up all procurement and financial documents with the relevant CARE Ethiopia departments including purchase requests, advance requests, check requests, etc.
§ Liaise with the CARE Transport and Facilities Management Departments on required assignments.
§ Other administrative tasks as assigned or requested.
3. Records Management
§ Keep records of project administrative documents, respond promptly to questions and concerns raised in processing, and ensure that actions are taken in a timely basis
§ Provide copying and binding service for the project
§ Maintains the daily vehicle log by legibly recording in English all trip times, mileage and destinations.
4. Event Planning and Logistics
§ Obtain quotations for venues for event and visit venues to ensure appropriateness for the event.
§ Works with suppliers and vendors to ensure that event logistics are implemented in a timely manner; and all details are in place by the date of the event;
§ Coordinate with other CARE staff to ensure that event logistics prior to, during and after the event are implemented in a satisfactory manner.
5. GED related activities
§ Participate in GED training and actively participate in any GED related discussions or workshops.
§ Observe any improper treatment of women by CARE staff (staff, counterparts, or community) and report to supervisor.
§ Model good behavior towards female colleagues and others.
QUALIFICATIONS
A. EDUCATION/TRAINING
Required:
§ Completion of 12th Grade and 3rd grade driving license.
Desired:
§ Diploma in Management or related fields
B. EXPERIENCE:
Required:
§ 3-5 years of experience as a driver of passenger vehicle, including vans/small buses.
§ Good skills and capacity in planning logistic arrangements and follow-through on logistic details.
C. TECHNICAL SKILLS:
§ Good communication skill in written and spoken English;
§ Well organized and ability to act in a professional and ethical manner;
§ Defensive driving and auto mechanic background;
§ Trustworthy and reliable;
§ Valid driving license and good driving record;
§ Physical fitness and willingness to work under pressure, possible long working hours and frequent field travel;
§ Basic mechanical skill to be able to do small repairs if necessary; and
§ Firm belief in teamwork, gender equality, sensitivity to HIV/AIDS, participatory approach and sustainable development.
