Job Summary:
The Administrative Assistant ensures the provision of efficient administrative support services to support various corporate and departmental functions at the Bank’s office in Addis Ababa.
The role reports to the Coverage Executive, North-East Africa.
Job Specifications:
The Administrative Assistant is responsible for the following functions:
Provision of administrative support services to support various corporate and departmental functions and the Bank’s day to day operations;
Travel management;
Petty cash management;
Answer and direct phone calls;
Organize and schedule meetings for staff;
Assist to coordinate events and clients related functions for the Bank;
Procure consumables for the staff and official guests to ensure that their work runs smoothly banks goals;
Raise Local Purchase Orders before approval of purchases;
Process payments to vendors and suppliers;
Prepare reports on fuel consumption and repairs and maintenance of vehicles;
Communicate with and provide regular reports and updates to various stakeholders;
Develop and maintain an accurate documentation and filing system;
Assist in the preparation of protocol documentation;
Supervise support staff;
Support in the translation of documents;
Perform any other duties that may be assigned by management.
Job Requirement
A minimum of a Bachelors’ degree in Public/ Business Administration or related qualification from a recognized institution with relevant professional qualification as added advantage;
A minimum of 3-5 years of relevant experience in an international corporate or banking environment;
Adept in office systems software / equipment with strong information technology skills with excellent IT skills in MS Office (Ms Excel and PowerPoint in particular) and SAP ERP;
Excellent communication and interpersonal skills with the ability to work in a multi-cultural environment;
Ability to work under pressure to deliver on strict deadlines with minimal supervision;
Team player and ability to juggle with multiple, changing priorities;
Strong interpersonal, organizational and planning skills, tact and discretion;
Fluency in English is a requirement and further fluency in French or Portuguese will be an added advantage.
