Job Summary
The Accounts and Administrative Assistant will provide administrative, finance and logistics related support for JSI/L1OK at each regional office( Amhara, Tigray and SNNP). S/he will assist the Regional Finance & Administrative officer in handling the project administrative, finance and logistics related activities.
Place of Work: Bahir Dar, Mekelle and Hawassa
Required Number : 3( one per region)
Key Roles and Responsibilities
· Assist the Regional Finance & Administrative officer for the implementation of project operation manuals which outlines all project policies and guidelines in areas such as personnel matters including benefits and responsibilities, project administration, vehicle use, per diem, insurance, medical, leave and retirement.
· Assist the Regional Project Team in coordinating assistance including preparing and completing travel arrangements including travel vouchers, hotel reservations, and in-country transportation
· Assist in procurement of equipment, and supplies as required by project activities, in accordance with the donors’ rules and regulations.
· Coordinate the use of the project vehicles and daily errands, ensuring that vehicle logs are properly maintained.
· Assist in maintaining project implementation plans, work plans, proposals, contract documents and contact list on databases at the regional level.
· Assist in the establishment and maintenance of the office filing system at the JSI/L10K regional office.
· Assist Regional Finance & Administrative officer to prepare bank checks and transfers for project expenditures
· Handle correspondences with banks including timely collection of bank advises and bank statements
· Responsible for receiving and distributing project mail, courier and hand-delivered items.
