Purpose of the job
The purpose of this role is to ensure that all transport and vehicle use legislation is adhered to the company fleet and safety policy. Assure the fleet status and management are followed by the country law. Administer company owned and third party leased staff sales & distribution trucks in the system are fully utilized at the required level.
Scope: Responsible for all, including sister company owned and third-party compliance, operational and efficiency related issues, including staff service.
Key Responsibilities
Perform audit and compliance work
• Under the guidance of corporate Fleet Manager, and top Management Team, undertake periodic audits on medium as well as heavy, sales & distribution trucks status and road worthy conditions
• Ensure all drivers of company vehicles comply with the appropriate traffic legislation, driving hour’s regulations and regulations of Road Authority
• Assist the Fleet Manager to ensure any amendments required to improve fleet operation are carried out in accordance with current legislation
• Being with corporate fleet teams, Administers insurance policy renewals, incident reports / repairs with fleet Admin & garage team leader.
• In alignment with liaison officer, Process and insure annual inspection and Bolo related activities with head office fleet Administrator.
• Coach and develop team (junior dispatcher, dispatcher….)
Efficient utilization of distribution trucks
• Check & ensure assignment of drivers for trucks & cars engaged in company activities
• Manage truck turn-around against standard leading time
• Ensuring all stock transferring trucks are operational and have dedicated drivers
• Working closely with garage team to get back any truck break down with as possible perfect timing
• Organize daily truck activities reports to address as requested on daily basis.
• make sure that sales trucks are loaded and ready for sales operation
• achieve 95% of truck availability including follow-up and execution of ready truck for sales to park close to their market before restriction hour under the new regulations.
• Make sure all operational trucks are ready for assigned activities, fulfilled of all the needful, fuel, driver, trucks technical condition’s
Controlling role on noncompliance activities
• Monitor the fuel consumption and display the variance/ improvement by time interval
• Control and follow-up of all staff service car arrival and departure time
• Coordinate the distribution of published policies and procedures to each driver
Perform Administrative role
• Create and maintain a comprehensive database of road traffic accidents together with minor incidents involving company vehicles and provide timely reports showing any identifiable trend analysis to the Fleet Manager
• Record each vehicles insurance period and communicate it reactively
• Document claim request and insurance related documents
• Responsible for assisting in the recruitment of quality drivers into the fleet
• maintaining detailed records of vehicle servicing and inspection and scheduling regular vehicle maintenance to ensure operational efficiency
• Other tasks as per the guidance of immediate line manager or top management
· Education: BA Degree in business related field of study
· Experience: 5 plus year of experience in logistics related operation areas and preferable in fast moving industries
· Languages: Excellent in English and Amharic, other local languages plus advantage
