Job Summary
Under the guidance of the VMMC Program manager, the Program Assistant provides programmatic assistance to program and technical staff by playing an active role in planning, implementation and monitoring of ICAP VMMC program in Gambella region. Performs key program related tasks needed to implement planned activities and assists staff to ensure appropriate information sharing among admin, program, technical and M&E units of ICAP.
Major Duties and Responsibilities
As an assistant of the VMMC program, the incumbent will have the following responsibilities:
· Support the planning process, updating the activity matrix and verifying whether planned activities are progressing within the schedule;
· Provides support in the planning and implementation of training/TOTs, orientations, workshops, review meetings including drafting invitation letters, reservation of training place, prepare task orders, contracts for consultants, radio announcements, photocopy, avail required stationary materials, participants’ registration or information and attendance, payments, follow transport, and other required arrangements.
· Provide programmatic support in printing/photocopying and distribution of different guidelines, standard operation procedures, client cards, registration books, job aids, client educational materials (leaflets, posters…etc.,) and monitoring and evaluation tools
· Based on the needs assessment results, prepare purchase request, assist in the material selection, follow purchasing process and distribution of furniture, VMMC commodities, supplies to ICAP supported facilities in Gambella Region.
· In collaboration with the VMMC technical advisors and technical officer participate in organizing VMMC campaigns (identify facilities and determine number of people / staff to be involved, submit advance requests to the finance unit and follow the reimbursement)
· Participates in the program meetings to review the progress of planned activities implementation;
· Draft minutes, quarterly, semi-annual and annual performance reports including minutes of meetings and training reports
· Properly handle program data, records, reports and all VMMC program related documents,
· Perform others duties assigned by the supervisor
Required qualifications and experience:
· B.A. Degree in Management, or related Social Science fields, having health background or diploma in nursing and experience in operation theatre is preferred
· At least two years’ experience in program support in NGO
· Excellent written (English) and verbal communication (spoken) skills
· Excellent interpersonal and coordination skills
· Computer literacy and ability to use MS Word, Excel, Power Point, Outlook and statistical packages
· Flexible, self-starter, good team player and capacity to work in a multi-disciplinary team setup
