Job Summary:
You will coordinate the provision of responsive, effective and efficient administrative services in support of the Catholic Relief Services (CRS) mission to serve the poor and vulnerable. You will help ensure stewardship of resources and a high-quality services approach are integrated into administrative system, policies and procedures.
Job Responsibilities
- Coordinate and report on activities and required resources to ensure cost efficient and quality services delivery from administrative support functions. Help ensure administrative systems, processes, and policies are in line with agency standards and donor and local law regulations.
- Facilitates communication between the Logistics Department and other CRS/ET’s departments, sub Regional Offices and external contacts.
- Engage with relevant external stakeholders (Government officials, landlords, service providers, etc.) on assigned administrative matters and help ensure required authorizations and documents are up to date.
- Follow up agreement expiry dates, update track sheet and arrange for contracts renewals for different service agreements a head.
- Prepare fumigation requests and contract the service providers on time according to the contract.
- Prepare and process payment requests for warehouse rent fee, fumigation fee and other payments by cross checking all supporting payment documents are fulfilled & follow up to ensure on time payment is made to the service providers.
- Coordinate the provision of travel and Logistics support and services to staff and visitors. Coordinate event planning activities, including delegation visits, trainings and workshops.
- Prepare purchase requests as per the demand from the department and PDP’s and follow up on time delivery of procured materials & release from stock.
- Prepare, draft and finalize correspondence and documents and ensure appropriate format is followed and registered in the logbook for ease of follow up.
- Collects, check and submit monthly overtime requests from each PDP and submit to Human Resource department before the deadline. Prepare leave schedule for the department, Check leave requests and maintain copies for reference. Subsequently check accuracy of report from HR with the department’s leave schedule balance (tracking system);
- Coordinate the efficient use of CP assets and rented facilities. Help ensure fully compliant procurement of office materials and assets management systems.
- Ensuring departments filing system are maintained, accessible and efficient.
- Support in any ad hoc activity as requested from the department staffs and PDP’s. Help identify safety issues and ensuring a safe and sound work environment.
Typical Background, Experience & Requirements
Education and Experience
- Degree in Supplies and Purchasing management or related field from recognized Institution.
- 5 years of relevant experience is required.
- Additional education may substitute for some experience.
- Experience and proficient skills in MS Office package (Excel, Word, PowerPoint, Visio) and information management systems.

- Good Planning, Organizational and time management skills.
- Strong customer service orientation with very good communication and interpersonal skills.
- Ethical conduct in accordance with recognized organizational codes of ethics and ability to maintain confidentiality.
