To provide and enable site/unit/country based structured and efficient customer service i.e. Serve as a single point of contact on all administrative HR related services
Provide effective communication channel for both external and internal users i.e. job seekers, suppliers and vendors (current and potential)
Responsible for all HR services related queries and queries in line with Service Delivery work streams and systems i.e. administer, investigate, communicate and close issues & service in regard to:-
Workforce Administration (includes HRMS – people soft)
Receive and disseminate work stream communication to users and feedback to work stream specialists.
Maintain a register on customer service levels and record all cases on site.
Obtain, retain and provide all general documentation i.e. forms, processes, polices etc as advised by the HRBPs, SDM, ETs, and work stream specialists.
Support SLA and general reports data collection, compilation and submit to work stream Specialists
Support the on-boarding process for new joiners/ movers into the business.
Interface with local/country single point of contacts.
Monitor budget and keep record in regard to invoicing and payment for all HR services
Exit process administration
Escalate all unresolved issues and problems respective work stream and the SDM
Distribute induction / on-boarding packs
Confirm vacancy in structure / establishment & ensure relevant authority / approved requisitioning process
Advertise / source as appropriate i.e. advertise, data bank, institutions, 3p recruiting agencies etc
Receive, (scan or email) & submit applications to specialist (only supporting role)
Distribute learning materials or explain online learnings available to employees
Workforce Administration
Provision of standard HR Forms & other documents
Compile & submit employee changes and submit to WFA specialist
Ensure smooth clearance process for all employees
Inputs to SDC workforce admin / Specialist – standard reports
Disseminate communication materials i.e. policies, GPS, process guidelines, General notices, forms i.e. leave, PDP, loans and other related forms etc
Job Requirement
Bachelor Degree in HR or Business related field with 3 years experience in HR related areas.
