Purpose of the Job:
To enhance smooth operation of the factory, by ensuring efficient and timely supply of transport services, optimal vendor and outsourced services administration and provision of other facility services.
Main Duties and Responsibilities:
· Review Transport service practices and procedures to determine whether improvements can be made in areas such as workflow, reporting procedures, or expenditures.
· Follow up timely insurance renewal and registration for all vehicles of the Company.
· Analyse fleet data and create reports.
· Monitor management of vehicles in accordance with Company policies, and regulatory standards.
· Ensure preventive maintenance plans are adhered to.
· Follow up track maintenance costs and take actions as necessary.
· Lead the periodic vehicle inventory.
· Moni tor with proper disposal and tracking of obsolete vehicles.
· Oversee the effective and efficient provision of all administrative requirements of offices including cleanliness, facilities management, and transport.
· Follow-up the maintenance of company offices, buildings, administrative facilities and materials and keep all the necessary records thereof.
· Coordinate the setup and maintenance of dining rooms/cafeteria for staffs, conference room and the assembling/disassembling of office furniture/equipment.
· Supervise and ensure cleanliness of company offices including.
· Liaise with public utilities (power, water) and telecom service to ensure continuous service provision.
· Provide conducive working environment for Company staff by driving adequate availability of water, lighting, good sanitation and gardening works.
· Overseeing and agreeing contracts and providers for services including, parking, cleaning, catering, technology and so on
Generic Duties of the Position:
· Develop and implement the Department’s plans and objectives.
· Develop, approve and monitor the Department’s budgets.
· Identify human resources requirements of the Division and develop plan for meeting the requirements.
· Develop, implement and review relevant divisional policies and procedures.
· Review, approve and submit Divisional reports to relevant organs.
· Support the development of subordinates through periodic performance evaluations, coaching, mentoring, ongoing performance dialogue and feedback.
· Manage disciplinary concerns of the Department’s staff.
· Represent the Department in internal and external relationships.
· Participate in group decision making process by forming part of different groups/committees
Bachelor’s degree in Logistics and Supplies Management, Management or related fields with six (6) years of demonstrated experience of which three (3) years in a supervisory position
