Position- HR / Admin Assistant
Location- May-Ayni Refugee Camp, Tigray Region
Length of Employment- Definite
Monthly salary & benefits- ETB 6,974.00 to 7,689.00 per month with 30 % hardship allowance and PF / pension contribution from IRC and it will be based on the candidate qualification and earning history.

Scope:
Under the supervision of the camp manager, the HR /Admin assistant is responsible for managing the human resource and administrative aspects of the camp. That is participating in hiring, proper handling of personal files, payroll preparation. He / she supervise cleaners, cooks and office aids as required. Moreover, maintain conformity with the mandatory reporting schedule of the department
Responsibilities:
• Responsible for preparing monthly payroll and maintaining payroll related documents and information are kept properly.
• Maintain up to date records of all incentive staff
• Ensures the required office supplies are always available in the office;
• Keeps all records of all private use of telephone, e-mail, and fax and inform finance department for collection ;
• Assists in organizing facilities for workshops, seminars and trainings;
• Draft letters, memos, incentive work certificates and short report on administrative nature as required;
• Prepares monthly OT summary sheet and payroll and send to the Field Office;
• Ensures offices, toilets, shower rooms canteens and Guest house are cleaned properly;
• Monitor Staff canteen service regularly and take corrective measures timely
• Arrange canteen and accommodation services for Guest
• Perform other duties as assigned by his/her immediate supervisor.
Human Resource:
• Assists in organizing orientation at the camp level for new incentive staff;
• Participate in incentive hiring process and file the complete document in incentive personal file;
• Maintain up – to – date tracking of incentive workers data base and report to the camp manager and to the HR / Admin Officer on a monthly basis;
• Prepare employment contract for incentive workers, temporary and definite period employee;
• Complete all personal forms required and opens files with all the necessary documents for newly hired incentive staffs;
• Prepares a monthly incentive staff data base and report to the HR / Admin officer and to head office if necessary;
• Collect and send T &E Sheet of all staffs in the camp to the Field office HR / Admin after checking with the salary map of the month;
• Collect and send all kinds of leaves of national staffs and send to HR / Admin;
• Follow up the timely evaluation of midyear and annual performance evaluation at the camp;
• Performs other related tasks as required.
Requirements
• University Degree/College diploma in Management, Human Resource/ Personnel Administration , Public administration with at least three years of experience
• Conversant with MS – Word and MS – Excel
• Ability to communicate well in English
• Strong communication, organizational and interpersonal skills
• Knowledge of current trends in Human resource / Administration
• Able to organize multiple tasks , prioritize tasks and work under pressure
• NGO experience is a plus
