Provide administrative support including, filing, typing, screening calls and, settlement of utility bills for.
Major Duties and responsibilities:
Keep track of incoming/outgoing letters and parcels, and to follow up the timely delivery of letters/massage in timely manner.
Receives and screens incoming calls and makes referrals to appropriate staff or provides requested information
Settle utility bills in a timely manner.
Plan and coordinate for the distribution and settlement of cell phone/CDMA cards..
Make all logistics arrangements for meetings, interviews, etc…to be conducted in the Head Office. Avail the required conference materials needed for the meeting..
Facilitate for logistics arrangements for hotel bookings for meetings and trainings to be conducted in the in the respective places. Avail the required conference/training materials needed for the meeting
Reserve halls in the appropriate hotel/health facilities for trainings and reserve rooms for ICAP guests. Undertake a follow up on settlement of hotel bills
Develops and maintains databases for contact address of staff, partners, hotels and other organizations
Draft and type letters in response to inquiries of the staff
Perform other duties as assigned by his/her immediate supervisor

Ability to establish and maintain effective working relationships with subordinates associates, other department directors and managers and external bodies.
Ability to perform multiple tasks simultaneously.

Required Qualification and Experience
Bachelor Degree in Management or Secretarial Science or related field with two years of related experience. OR
Diploma in Management or Secretarial Science or related field with four years of related experience
