Job Title: Project Coordination Division Head
Report to: Engineering Department Manager
DUTIES AND RESPONSIBILITIES
JOB SUMMARY
Under the general direction of the Department Manager the incumbent is responsible for coordination, supervision and guidance of subordinates, following up tender document preparation, controlling and supervising projects, economical allocation of budget and other resources, preparing cost structures and assigning all required resources for each project in collaboration with human resource and other departments, manage the communications with clients and consultants, ensuring proper documentation, preparation, revision and presentations of reports timely and with proper details.
DUTIES AND RESPONSIBILITIES
Tender Preparation
Prepares tender priced BOQ based on the rates established in cost breakdown sheet.
Prepares full-fledged technical and financial part of pre-qualification document.
Prepares work schedules and work methodology when necessary.
Prepares advance disbursement Schedules.
Compiles the bidding documents as per bid requirement.
Prepare and manage post bid analysis to be submitted to the management team.
Operation follow-up
Ensuring materials to be purchased are of proper quality, type and size and are deliver timely collaboration with concerned department.
Ensuring that proper schedules are prepared for each project.
Ensuring proper human resources, material, and equipments are fulfilled and ready for deployment in collaboration with concerned departments.
Allocate sufficient budget as per project schedule prior work execution.
Subcontract agreements & payments
Checks & submits to the department manager the assessed potential subcontractors based on the companies list of subcontractors & new companies.
Prepare or verify price comparisons of subcontractors’ price and contract unit price & submit to the department manager.
Verify or update list of potential subcontractors & submits to the department manager.
Prepare, verify appropriate payments based on the contract agreement & take off sheet from site and submits to the department manager prepared.
Verify or revise takeoff sheet sent from site and submits to the department manager.
Verify and check records of payment certificates related to the sub-contractor contract works and submits to the department manager the prepared
Payments, price escalations, claims & variations
Verify, follow up and support on preparation of the payments on site based on the executed activities and report to the Department manager
Verify & submits to the department manager the result of follow-up with the consultants for approval of payments, escalations, claims & variation orders and at the same time follow-up with the clients for the release of payments.
Prepare or verify the result of proper documentation of files which would help for delay justifications & submits to the department manager
Documentation
Document safely & properly contract agreements and related & drawings, and other files related to contracts such as correspondences, variation orders (both approved & not approved), work orders, site handing over protocols, provisional & final acceptance certificates, payment certificates, claims, price escalations, take-off sheets, material approvals, etc & submits when required.
Checks & submits to the department manager the result of kept proper documentation of Follow up proper documentation and filling system
Manage incoming and outgoing letters and correspondences to clients and consultants properly
Projects follow-up works
Manage properly the communications with contractors and clients on project sites daily about the progress of works, material, equipments and labor required on site that needs to be fulfilled and update the department manager.
Follow-up with the consultants on approval of material samples, revisions and works
Manage relationship with client for the approval or release of letters concerning materials and other related cases.
Daily, weekly, monthly quarterly and annual reports
Following up whether projects are executing the works on profit or in loss and notifies projects on consumptions of resources and notify Construction Department and update the department manager.
Prepare summarized weekly projects performance compare it with the approved planned amounts & submits the result to the department manager.
Prepare or compile the monthly, quarterly and annual reports, comparison of performance against approved plan & submits to the department manager
Prepare project schedule, revisions and also checks the revision as per the requirement in collaboration with projects.
Undertake project site visit, supervise and coordinate project activities, checks the updated project status and discuss it with the Department Manager.
Undertakes other duties and responsibilities assigned by the Department Manager.
Job Requirement
Educational Qualification
BSC in Civil Engineering or Construction Management
Work Experience
At least seven years of experience in building and/or in road construction projects out of which at least four years as Project Coordination Division Head
Knowledge and Skills Required
Updated knowledge and skills of Civil engineering or Construction Management
Proficient at all Microsoft office tools, AUTOCAD and Scheduling soft ware
Very good knowledge and skills of project management
