Under the direct supervision of the general manager, the essential job functions of Executive to the General Manager tasks will include:- 1. Organizes and runs the office of the General Manager. 2. Screens and schedules appointments and visitors for the GM. 3. Preparing letters, memos, reports, sends and receives e-mails and faxes for the Country office. 4. Ensures the confidentiality of the GM’s office and all records. 5. Replies to basic letters and queries. 6. Translates correspondence between English and Amharic. 7. Takes minutes at management meeting. 8. Ensures that all communications and correspondences are appropriately numbered and filed. 9. Ensures all files are managed properly by using africaJUICE Tibila Share Company universal filing system. 10. Keeps and maintains africaJUICE Tibila Share Company staffs’ work and residence permit and leave records; 11. Preparing and sending business invitation letters to the concerned embassies or consular office for expat employees. 12. Preparing GM office maintenance annual/quarterly budget. 13. Assist the General Manager in developing a work plan for the various department in the company 14. Prepare minutes of management committee meetings and make sure that department heads get the agenda in time 15. Carry out all secretarial services such as preparing letters, memo and other documents 16. Prepare and send daily reports to head office 17. Give hand to the executive in prioritizing most important staff and take responsibility of the routine to help the GM concentrate on strategic issues. 18. Responsible for overall secretarial services of the company. 19. Follow up export and import cargo and report their status to General Manager. 20. Sending enquiries to international buyers of edible oil seeds and maintain database. 21. Assist logistics department in filing and maintenance of records. 22. Take customer orders and ensure service is provided to their level of expectation 23. Give orientation to the customer on the benefit of products and services of the company 24. Documenting customer feedback and complaints and report to the higher ups for possible corrective actions 25. Jointly plan annual sales target with sales and marketing department and share responsibilities to help the company meets its target sales and profit.
Job Requirement
Qualification Education:- First Degree/Diploma in Business Administration/Management/Secretariasl Science.
