The PA provides executive support in a one-on-one working relationship.
The PA serves as the primary point of contact for internal and external public on all matters pertaining to the Office of Managing Director and General Manager.
The PA also serves as a liaison to the senior management teams; organizes and coordinates executive outreach and external relations.
Detail Activities
Ø Completes variety of administrative tasks for the Managing Director & General Manager including: managing an extremely active calendar of appointments; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
Ø Plans, coordinates and ensures the Managing Director & General Manager schedule is followed and respected. Keep and control appointments and visits to Managing Director & GM office.
Ø Provides a bridge for smooth communication between the Managing Director General Manger office and internal departments; demonstrating leadership & maintain credibility, trust and support with senior management staff.
Ø Provides leadership to build relationships crucial to the success of the organization, and manages a variety of special projects for managing Director & General Manger, some of which may have organizational impact.
Ø Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
Ø Participates as an adjunct member of the Executive Team including assisting in scheduling meetings and attending all meetings.
Ø Assists in coordinating the agenda of senior management team meetings.
Ø Preparing and sending business invitation letters to the concerned embassies or consular office for expat employees.
Ø Receive book and control visitor reservations to company guesthouse and hotels.
Ø Take responsibility of the routine tasks of the Managing Director and GM.
Ø Translates correspondence between English and Amharic and vice versa.
Ø Ensures that all communications and correspondences are appropriately
numbered and filed.
