BACKGROUND:
The Agricultural Transformation Agency (ATA) has been established by the Government of Ethiopia (GoE) to identify and address systemic bottlenecks to Ethiopia’s agricultural development. The Agency does this through problem-solving, implementation support, and capacity building of stakeholders involved in implementation of interventions that address the systemic bottlenecks. The Agency reports to a Transformation Council chaired by the Prime Minister and whose co-chair is the Minister of Agriculture.
The programmatic focus of the Agency responds to a core set of needs identified by the Ministry of Agriculture and the Transformation Council. Within the Agency, issues are divided into three different verticals; Systems which includes seeds, soil health and fertility management, cooperatives, input/output markets and extension/research; high priority Value Chains including tef, wheat, maize, pulses and oilseeds, and livestock; and Cross Cutting Initiatives that include technology access and adoption, gender mainstreaming, climate adaptation and environmental sustainability, and monitoring and evaluation. Across these programs, the ATA engages public, private and non-governmental stakeholders to support strategic planning, manage and strengthen implementation capacity and test innovative models. The ATA will be financed by the GoE and a range of development partners.

POSITION SUMMARY:
The Property Administration Specialist – Office Equipment is responsible for administration of all furniture and office equipment; ensuring proper issuance, dispatching, and delivery of all electronic devices; organizing office move-in and move –out processes and/or allocation of office furniture and equipment.
ESSENTIAL DUTIES:
· Ensure all assets are registered, tagged and tracked; conduct annual inventory taking of all office property; produce monthly office property/equipment inventory report
· Manage the location and movement of asset; update fixed asset tracking sheet record to be aligned with property custodian / user name and identification details
· Follow up the repair and maintenance of asset; keep records and track of updates on damages and losses related issues; prepare update report to the repair/maintenance requesting team or department
· Perform fixed asset and other properties reconciliation against finance records as per inventory taking procedures and schedule
· Follow up office equipment and facilities and present purchase request for department Logistics unit
· Ensure the availability of drinking water in the office and provide monthly mobile scratch cards for ATA staffs
· Dispatch and deliver equipment to partners; monitor day to day movement of office equipment
· Oversee acquisition, distribution and internal allocation, delivery and final disposal of missed and lost laptops
· Maintain updated property handing-over records; determine condition of property to organize processes of disposal of obsolete office equipment
· Conduct property audit; develop recommendation for approval; implement approved property administration policy guidelines
· Provide advice on organizational guidelines that is aligned to government policy and regulations pertaining to property administration accountability
· Prepare periodic fixed asset inventory report
· Ensure storage areas are kept clean and organized at all times; facilitate proper material management of ATA store
· Update asset movement tracking record, prepare monthly and quarterly report to the logistics manager
· Ensure equipment issue notes, goods receiving notes and other related documents are properly cross-checked and matched versus the physical count of asset/property
· Conduct periodical inventory count, check inventory variance and control as per ATA’s asset management policy
· Dispatch requested asset from head office to different ATA operation areas and compile necessary documents
· Monitor tagging of all electronics assets and devices of ATA; ensure equipment is properly used by custodians
· Monitor and record office equipment fixed assets, manage the equipment and ensure equipment is properly used; prepare monthly asset reports to logistic manager
REQUIRED QUALIFICATIONS:
· University degree in Management, Business Management or Supplies Management or other related field
· At least three years’ of experience working in warehouse and asset management
· Ability to work on Microsoft Word and Excel
· Fluency in Amharic and a working knowledge of English
