JOB SUMMARY
The Executive Secretary is responsible to provide administrative and secretarial services and support to the CEO and other high-ranking officials in the company. She/he will be the one to organize and maintain the executive’s schedule and assist by performing a variety of administrative tasks including managing of files/records.
MAIN DUTIES AND RESPONSIBILITIES
· Maintain CEO’s agenda and assist in planning appointments, meetings, conferences etc.
· Attend meetings and keep minutes
· Receive and screen phone calls and redirect them when appropriate
· Handle and prioritize all outgoing or incoming correspondences of the CEO’s office (e-mail, letters, packages etc.)
· Make travel arrangements for executives and international travels
· Handle confidential documents ensuring they remain secure
· Prepare invoices or financial statements and provide assistance in bookkeeping
· Monitor office supplies and negotiate terms with suppliers to ensure the most cost-effective orders
· Maintain electronic and paper records ensuring information is organized and easily accessible
· Conduct research and prepare presentations or reports as assigned
· Degree in Secretarial/Administrative Sciences, business administration or related field with at least five (5) years proven experience as executive secretary or similar administrative roles
· Proficient in all MS Office tools and knowledge on any ERP could be advantages
· In depth knowledge of office management and basic accounting procedures as well as technical vocabulary of relevant industry
· Excellent time-management and organizational skills to cope with a number of competing priorities and ability to work under pressure
· Excellent communication and language (English ability)
