In collaboration with the Federal Ministry of Health (FMoH) and other health sector partners, IHI has designed a fast-moving large-scale quality improvement (QI) initiative with the aim of accelerating the Ministry’s efforts to improve maternal and neonatal health (MNH) outcomes in Ethiopia. This initiative is funded by the Bill and Melinda Gates Foundation, and has three core components:
Job Summarization:
Under the supervision of direct supervisor, the position holder will be capable for all administration work of including facilitation of office purchases, training preparation with reservation and following up payments, handling timely request on visas and work permit. Generally, the position holder will work as a liaison person for all Admin issue with government, related parties.
Position Responsibilities:
Facilitates the movement/travel of staff including expat through local and international flights, which includes booking and settling the periodic bill as per the internal policy.
Facilitates the arrangement of trainings, meetings, including regional meetings/conference from reservation up to setting payments which includes also per dime payment for participants.
Manages the office documentation including incoming, outgoing letters and payment documents for each transaction under his/her supervision.
Monthly purchase and distribution of Air time and Internet dongle cards.
Prepare weekly and monthly procurement plans and handle Goods/Services Requisition and Request for bids to suppliers.
Request Petty cash and handle procurements of goods and services.
Manages expat staff work permits, Residence ID, Visa and related tasks under supervision of direct supervisor.
Takes a record of IHI properties like computers, Internet dongle and fixed assets. Also the position holder will prepare regular report properties he/she registers.
Manages all customs, couriers and import related issues together with the responsible department or focal person on behalf of IHI Ethiopia office.
Serve as a custody of all Finance related documents including checks and vouchers.
Process payments and prepare the appropriate Vouchers and submit for review by Finance Manger record the same into QB.
Prepare Checks and submit for review by Finance Manager.
Serve as a custodian for Petty Cash and facilitate the establishment, replenishment and closing process related to Petty Cash management.
Receive cash and deposit the same to IHI local bank account.
Facilitate pension and tax settlements on monthly basis.
Other related Admin and Finance issues assigned by the direct superior and Country Director of IHI Ethiopia.
Job Requirement
A minimum of Bachelor Degree, majored in, Business management, Public Administration, Accounting, Law and related social science streams.
A minimum work experience of 4 years which an experience in INGO sector is also needed. In Addition, experience working with customs clearing process, work permit and visa request is considered for this position.
Good experience on Excel and word is an asset for the position.
Fluency in written and oral English and Amharic
