JOB PURPOSE:
To provide effective logistics support to Gambella program. The post holder will be responsible for warehousing and fuel management activities by ensuring these standards are complying with Concern worldwide logistics manual and procedures. The post holder will also act on behalf of the transport and logistics officer while he is away from the office.
Main Duties & Responsibilities
Warehousing and asset management
· Ensure good inventory/warehouse management systems are in place and ensure Concern’s and donors’ warehouse/inventory management standards/policies comply with the manual and procedures.
· Mange main storehouses as well as fuel store
· Ensure each site sub stores have sufficient stocks
· Collect weekly/monthly stock report from each site and verify the reports against the physical count.
· Ensure store documents are adequately utilized in all time.
· Maintain good stock records systems and make sure all relevant information are shown on the stock and bin cards as per Concern and donor’s guideline
· Regularly check program’s fixed asset and update the asset list regularly
· Coach and guide sub storekeepers as necessary provide training on stock management
· Facilitate payment for daily labours and ensure they are paid timely in accordance to the local rate.
· Refill fuel for office vehicles and generator and ensure all necessary paper work is completed
Procurement
· In the absence of Logistics officer manage procurement activities and lead/organize procurement committee and make sure procurements are carried out in line with Concern procurement policy and procedure.
· When necessary preform pity cash purchase
· Ensure all procurement record (softy and hard copy) are timely updated and maintained so as to promote openness and transparency at all times.
Transport
· In the absence of transport and logistics officer, manage rented drivers and ensure vehicles are used for Concern’s purpose only
· Collect vehicles log sheet and verify for completeness before sending to Head office
· Ensure drivers and vehicles users are adhere with Concern’s transport policy
Reporting and Networking
· Maintain the relationship established with Concern partners and
· Produce monthly consolidated stock and submit to the program transport and logistics officer timely
QUALIFICATION AND EXPERIENCE
Essential:
§ College Diploma in purchasing and supply chain management or other related field of studies with minimum of four years of experience in logistics, supply chain management or accounting
§ Computer Literate in Microsoft Word and Excel
Required
§ Rich experience and familiar with various donors’ particularly WFP commodity management standards
§ Strong professional initiative, self-confidence, oral communication and interpersonal skills
§ NGO experience in emergency projects is an advantage
§ Good spoken & written English
§ Flexible, reliable, culturally sensitive and with the ability to work in teams/ isolated situation and stressful environments and under pressure meeting deadlines.
§ Initiative and be able to work with minimal supervision.
§ Strong planning, coordinating and facilitation skill
