Meeting with contractors in the area of services provided by the Reception, preparing comparative analyses and recommendation for the General Services Manager. Negotiating the conditions in order to optimize the costs. | ||||||||||||
Booking hotels/planes, etc. for company employees and their guests - punctually, according to current need, using competitive prices and according to binding procedures. Monthly reporting of number and costs of hotel days used by employees during business trips, collecting data from assistants, creating and analyzing the panoptic report. | ||||||||||||
Taking care of office equipment and halls, reporting all the damage and problems to the Office Administrator; ordering and refilling the supplies of office utensils and groceries - in advance, minding the prices and adequately to needs. | ||||||||||||
Servicing guests and employees during selected conferences and meetings. | ||||||||||||
Leading a solid administrative documentation - ad-hoc, systematically, flawless. Receiving and distributing incoming and outgoing correspondence - on time and with care. | ||||||||||||
Creating procedures and improvements in the Travel desk area and performing tasks and projects assigned by Recruitment and Talent Management Manager - on time, precise, according to given guidelines. | ||||||||||||
Updating the information boards belonging to the Reception - tidily, on time, with own initiative, imaginative | ||||||||||||
Education: | College Diploma or BA Degree in Management, Secretarial Science or other related field | ||||||||||||||
Work Experience: |
2+ years Experience in working with people, welcome experience of working at the reception | ||||||||||||||
Language Skills: | Good knowledge of English | ||||||||||||||
Functional Skills: | Good knowledge of MS Office (especially Power Point, Excel) |
