Population Health and Environment Ethiopia Consortium (PHE-EC) is an NGO established in 2008. PHE-EC strives to contribute to the sustainable Development Goals (SDGs) and Growth and Transformation plan GTP II of the country. Currently, PHE EC has 66 member organizations which are working all over the country on Population, Health and Environment and it has obtained its legal status as Ethiopian Residents and foreign Charities consortium in accordance to the new NGO law. PHE-EC is now in the process of employing competent candidates to apply on the Executive Secretary vacant post.
Main Duties and Responsibilities:
Perform various administrative supports to the Executive Director and the program activities including drafting correspondences, provision of supplies and services, proper filing of project documents both electronically and hard copy, …etc
Coordinate with program team, finance and operation staff to obtain timely authorization of supporting documentation needed in support of program logistics.
Petty Chash handling
In consultation with Monitoring, Evaluation and Communication Coordinator, develop content for the PHE EC website and social media accounts, keep the mailing list and Manage and administer windows servers like Email, File server, & manage social media like Twitter, Face book, LinkedIn of PHE EC….etc
Provide support to PHE Ethiopia Consortium staff in all hardware, software, and communication.
Assist program staff as needed in the planning and implementation of events, trainings, workshops, review meetings and seminars including organizing logistics and travel arrangements, hotel reservation, ensuring the delivery of invitations…. etc
Ensure that training and participant information is collected for each event including attendance sheet.
Receive, screen, log and route all program related correspondence and maintain an effective follow up system.
Assist in coordinating external and internal meetings; including the recording of minutes and/or trucking action points and assist PHE EC team in compiling report and follow up on implementation of meeting deliberations.
Maintain up-to date lists of names and addresses of partner organizations, officials and personnel’s of relevant government partners.
Develop and maintain excellent relationships with colleagues and other partner organization
Draft contracts, correspondence and task orders for consultants as necessary and as assigned by the ED or Coordinator.
Handling the petty cash issue.
Properly documenting letters (incoming, outgoing)
Carry out other PHE Ethiopia Consortium’s assignments as may be required and as directedby the Executive Director.

Qualification and Experience:
BA in English language or Secretarial Science and Office Management or MIS or Computer science & communication or related field of study from recognized University with 3 years’ experience .(NGO experience is Advantages)
