I. General Information
· Duty station: Addis Ababa,Ethiopia
· Job Title: Admin Assistant
· Reports to: Head of Finance
· Contract Period: Two year with possibility of extension
II. Job description
Ø Checking the proper filing of the documents
Ø Preparing the documents for scanning including preparation of the copies as needed
o Receipts (cash register) must be copied and glued next to the copy.
o Any document less than the size of A4 paper should be glued to A4 paper
o Stapled documents should be unstapled for scanning purpose
o Receipts and all attachments must be stamped with ‘’paid by GAA’’ stamp
o In the front page of every payment document a voucher stamp must be placed and all the necessary information should be written in the stamp
o FundsPro voucher with a barcode should be printed and attached as a first page of each payment documents
Ø Scanning the documents as per the required procedure and properly filing
Ø Checking the scanned documents - quality and chronological order
Ø Uploading the scanned documents into the system
Ø Labelling files and other finance documents
Ø Supporting the finance team in other accounting issues:
o Preparing voucher list for reports
o Uploading the financial reports into the system
Ø Undertaking assistance cashier task (replacing during leave time)
o Handling the petty cash of the projects
o Preparing cheque payments/transfers
Ø Store keeping task for the Country Office
Ø Any other tasks assigned by Finance Department
· Diploma in accounting or other related field
· 3 years of work experience preferably NGO
· Familiar with Microsoft application – Excel, word, PowerPoint
