KEY DUTIES & RESPONSIBILITIES
Program Management
Sponsorship Operations, Communications and Compliance
· Child Eligibility & Program Participation: Ensure that systems are in place to monitor child eligibility and participation in sponsorship-funded programs. When standards are not being met, take proper and timely action based on agency policies and procedures.
Budget management
· Prepare annual sponsorship Program Operation Plan (POP) based on Summary Implementation Plan (SIP)
· Manage sponsorship budgets, including phasing of budgets as per work plans, leading monthly review of spend reports, identification of errors and required actions to address.
· Ensure effective and efficient utilization of project budget and other resources for intended purpose; follow up on budget utilization and project expenditure as needed.
· Closely work with the Awards Team to efficiently monitor and track burn rates, reporting and financial compliance issues
Staff Management, Mentorship, and Development
· Ensure appropriate staffing within the impact area sponsorship team.
· Provide the sponsorship IA staff with clear direction including Job Descriptions and Performance Objectives that relate to the Sponsorship Policies and Procedures Manual and achieving operational and strategic objectives.
· Manage team; define expectations, provide leadership and technical support as needed, and evaluate direct reports regularly
· Ensure the recruitment, training, development and promotion of staff as appropriate and ensure availability of appropriate professional development opportunities for staff
· Incorporate staff development strategies and Performance Management Systems into team building process. Establish result based system and follow up
· Conduct regular Field Office Sponsorship staff meetings.
· Manage the performance of all staff in the department work area through:
o Effective use of the Performance Management System including the establishment of clear, measureable objectives, on-going feedback, periodic reviews and fair and unbiased evaluations;
o Coaching, mentoring and other developmental opportunities;
o Recognition and rewards for outstanding performance;
o Documentation of performance that is less than satisfactory, with appropriate performance improvements/ work plans
Coordination and Community Mobilization
Monitoring, evaluation and quality assurance
· Document situation analysis of sponsorship-funded core program issues in the location and establish baseline data for impact monitoring, as well as for use in for new business developments
· In coordination with IA MEAL team, design results based monitoring and evaluation process for projects under supervision
· Monitor and systematically document implementation lessons, best practices and innovations for projects under supervision; and ensure that such information is fed into new business development.
· Plan and facilitate regularly scheduled reviews of projects with partners and stakeholders
· Facilitate mid-term, terminal and other review and evaluation of projects through participatory process
· In coordination with MEAL coordinator, lead and coordinate the development of TORs and management of tasks, including quick assessments, evaluations, and documentations, for projects under supervision as required
· Facilitates visits to donors, members and others as necessary
· Report regularly FO manager and head of sponsorship on program updates.
