USAID's Office of Transition Initiatives' (USAID/OTI) Ethiopia Support Program aims to deliver fast and adaptable support that helps to create an enabling environment for peaceful and inclusive national consensus processes. Dexis Consulting Group (Dexis) is working as USAID/OTI's implementing partner in providing this assistance.
Dexis is seeking a Program Assistant for the USAID/OTI Ethiopia Support Program (ESP) office in Addis Ababa. The Program Assistant will provide support to the ESP Program Development Officers (PDOs) in Addis Ababa and work under the direction of the Program Manager (PM) for the National GMU support PDOs with administrative tasks in support of grant making from idea development to grant close in compliance with USAID and Dexis policies and procedures.
Responsibilities
· Support the PDOs in all aspects of management of the ESP grants portfolio in Addis Ababa (with up to 20 grants in implementation at any given time) ensuring grant effectiveness and compliance from idea development to closeout.
· Under the guidance of the PM, support the PDOs in the activity co-creation process, particularly providing support in gathering the required information (and documentation, when necessary) from prospective grantees.
· Liaise between the national PDO team and the various operations functions in the Addis Ababa office, including supporting activity-level procurement; the STTA recruitment process and submission of timesheets and invoices; deliverable tracking; conducting field visits to support activity implementation and monitoring.
· Assist the PDOs in ensuring all relevant documents are appropriately filed electronically in the Web Based Data Base (WBDB) and/or SharePoint (SP).
· Work closely with PDOs and Communication Specialist to document activity highlights for bi-weekly and other reporting purposes.
· Assist in maintaining the program events calendar for the national GMU.
· Support the PDOs in planning for and participating in grantee kickoff meetings, including preparing any handouts, notes, presentations etc.
· In close coordination with the PDOs, regularly update activity trackers, activity notes, or other tracking tools, and attend and contribute to GMU meetings.
· Other related tasks assigned by the PM.
Reporting
This position will report to the PM.
Qualifications
· Undergraduate degree in business administration, social sciences, or related field and minimum of 2 years of experience designing and managing grants programs for international donor-funded projects. USAID experience strongly preferred.
· Experience in file management.
· Ability to work effectively, responsively, and collaboratively with government counterparts, development and private sector partners, civil society organizations, and academic/research institutions.
· Great communication and interpersonal skills in Amharic and English.
· Ability to travel as required.
