Shipment tracking and communication
1. Track status of each shipment after dispatch using GPS
2. Immediately notify distribution planner, Distribution manager, Distribution coordinator and SC-GTM Manager, on email and phone of any transit damage, breakdown or any other issue that might delay delivery
3. Inform KDs about expected truck arrival time ahead of time so as to give them enough time to prepare for offloading
PODs- Copy from TMS
1. Actively use telegram group to receive POD
2. Proactively communicate TMS to share pictures of POD upon receipt of goods
3. Daily track TMs who have shared POD for goods dispatched in a given week, share the tracker on the group and escalate to distribution manager and CD excellence manager for support if no response is received the following day
4. Update actual delivery date and POD status and POD receipt date column in the delivery tracker as soon as POD is received
5. Centrally store PODs received in an organized manner
PODs- Original from Transporters
1. Check if all PODs submitted by transporters is original before payment settlement, and share with report with distribution Assistant
2. Maintain both soft and hard copies of all PODs received by month for each transporter
3. Compile report on status of PODs and share with distribution Planner and distribution manager
4. Update POD status original column on delivery tracker
POD tracker
compile and share weekly POD status report with distribution coordinator, for all transporters
Update actual delivery date, POD in order tracker on daily basis
Extract and share CCFOT report
Work order tracker
Maintain tracker for each transporter @ 100% accuracy and share with distribution Assistant and Manager
Safety Report
· Compile weekly and monthly report on safe driving KPIs from GPS
· Ensure all 3P Outbound transporters adhere to all safety requirements
· Share weekly GPS report with transporters
· Maintain record of meeting minutes and reports
