Dexis is seeking a Grants Assistant for the USAID Ethiopia Support Program (ESP) office in Bahir Dar. The Grants Assistant will provide support to the ESP Grants Manager (GM) in Bahir Dar and work under his direction to monitor the grants process and procedures from idea development to grant close out and managing the filing system in compliance with USAID and Dexis policies and procedures.
· Support the GM in all aspects of management of the ESP grants portfolio in Amhara (with up to 20 grants in implementation at any given time) ensuring grant effectiveness and compliance from idea development to closeout.
Under the guidance of the GM, and working closely with ESP team members, support grantees in the activity co-creation process, particularly providing support to budget building, respecting agreed-to timeframes and approved budget ceilings, and ensuring compliance with Dexis policies and USAID regulations.
· Support activity-level procurement; budget tracking; deliverable tracking; conduct field visits to support activity implementation and monitoring.
· Assist the GM in ensuring all documents are appropriately filed electronically in the Web Based Data Base (WBDB) and/or Sharepoint (SP).
Assist in maintaining the program events calendar.
· Support the GM in planning for and participating in grantee kickoff meetings to ensure consistency and clarity on the technical, financial, administrative, and MEL aspects of grant implementation.
· Support the GM with aspects of the grants close out process, ensuring documentation is appropriately completed and electronically filed in the WBDB and/or SP prior to RPM review.
· In close coordination with the GM, regularly update activity trackers, activity notes, or other tracking tools, and attend and contribute to grants-related meetings.
· Other grants management
• Undergraduate degree in business administration, social sciences, or related field and minimum of 2 years of experience designing and managing grants programs for international donor-funded projects. USAID experience strongly preferred.
• Experience in reviewing and negotiating budgets, reviewing financial reports, preparing for and monitoring audits of grantees, and file management.
• Ability to work effectively, responsively, and collaboratively with government counterparts, development and private sector partners, civil society organizations, and academic/research institutions.
• Great communication and interpersonal skills in Amharic and English.
• Ability to travel and work throughout Amhara Region.
