The project/admin assistant is accountable to Disease and Health Events Surveillance and Response Directorate
recruited for effective office management and implementation of all projects to accomplish its vision and mission. The project/admin assistant coordinates, communicate and compile report in regular basis from project coordinators in the Disease and Health Events Surveillance and Response Directorate
He/ She will have the following duties and responsibilities:
· Communicate the researchers about the status of their research activities.
· Monitor the regular update of the researches and other projects
· Compile the report and give feedback to all member of Disease and Health Events Surveillance and Response Directorate
· Document copy of the proposals to track the main terms and conditions for management attention to meet the requirements.
· Prepare the annual/biannual/quarterly/monthly plan and report of each project in Disease and Health Events Surveillance and Response Directorate.
· Communicate the researchers and project collaborators as needed.
· Assist the director or deputy director of Disease and Health Events Surveillance and Response Directorate in the routine activities
· Regularly monitor program progress and budget performance, write regular grant reports, in collaboration with different Directorates and take appropriate actions as required.
· Actively participate in other activities of Disease and Health Events Surveillance and Response Directorate and the Institute.
Work closely with each project implementing personnel in Disease and Health Events Surveillance and Response Directorate and submit the regular update for Disease and Health Events Surveillance and Response Directorate
· First Degree in secretarial science, in Information Communication Technology or any other related business fields or College Diploma in secretarial science or any other related business fields.
· At least 6 years of experience for degree holders or 8 years for college diploma holders as a secretary or with clerical role.
· Excellent organizational skills, ability to prioritize, and comfortable working independently
· Ability to write clearly and help with word processing when necessary.
· Proficient computer skills and ability to operate general office equipment
· Warm personality with strong communication skills.
· Knowledge of Office Administrator responsibilities, systems and procedures
· Proficiency in MS Office (MS Excel and MS Outlook, in particular)
· Hands on experience with office machines (e.g. fax machines and printers)
