Fleet Manager

Job Description

Purpose of the job

Responsible for the management of vehicles in accordance with set policies and guidelines ensure safety and handling of fleet as per companies by fulfilling operational needs in reasonable way.

Key Responsibilities

Fleet operation & Monitoring

• Assure that outsourced and internal maintenance and service works are executed as requested, following the vehicle’s technical standards and in line with acceptable costs.
• Assure all owned vehicles are in compliance with all federal, state and local laws and regulations, this includes licensing, inspections, registrations, insurance and so forth.
• Coordinate operation, maintenance, scheduling and reporting of owned fleet of vehicles.
• Obtain and distribute new and renewals of vehicle registration and insurance cards.
• Plan, prepare, direct, and coordinate the company fleet maintenance program. 
• Designate and review vehicle assignments.
• Review purchase requisitions for parts and supplies, review vendor bid response for tools, equipment, part and services; monitor expenditures.
• Regularly report expenses and performances of thee fleet to the managements of the company.
• Draw up a budget for the company’s fleet management department an present it to management for further analysis and approval.
• Ensure compliance of the company with government regulations that have to do with the transportation industry.
• Take preventive measure to ensure safety of vehicles and drivers too.
• Make sure vehicles are always ready and available to meet orders by scheduling and monitoring current trends in the industry , so as to enable forecasts.
• Make sure that all vehicles are properly registered; carry out inspection on regular basis.
• Take part in different workshops and /or programs to keep up with new trend in the industry.
• Monitor fuel purchases by administering fuel cards for all vehicles to their respective drivers. This is done in order to regulate cost/expenses.

 Reporting , GPS tracking and record keeping when we avail

• Create and maintain a database for accident record keeping and monitoring of owned and contracted vehicle.
• Analyze and prepare monthly/quarterly /annual statistical fleet reports.
• Prepare a current status report by vehicle, driver name, mobility status, location name and speed every 3 hours send to the respective stakeholders.
• When we Implement prepare a driver error report by Driver an vehicle plate number indicating the over speed count and duration, over revving count and duration ,Harsh acceleration count and duration ,Harsh braking count and duration
• Prepare event report by vehicle .Driver indicating the event description battery disconnection, fuel level censor disconnection ,Night driving and speed censor disconnected on daily basis and monthly and communicate this to the Brewery warehouse & Transport manager ,transport coordinator and Depot managers.
• Prepare a Time at location report indicating the departure place departure time ,driving time, distance travelled ,maximum speed ,arrival place , and arrival tim , next departure time and time at location on daily basis and monthly and communicate this to the required stakeholder.
• When we implement GPS prepare an unauthorized truck report indicating the driver /plate number , the unauthorized location name arrival time in the unauthorized area and the time at location when the truck stops in the unauthorized area on daily basis and monthly and communicate this to the Brewery Warehouse & Transport manager, Transport coordinator and Depot managers .

Fleet utilization

• Prepare a fuel utilization mechanism, report monthly and communicate to concerned department and line manager.
• Maintain a central record of use of all vehicular unit including running costs.

Fleet technical state

• Attend and monitor all on- site inspection of vehicles being assessed of damages by insurance inspectors.
• Identify surplus vehicles for sale and disposition.
• Upload remind for the schedule day of maintenance and follow up the driver adhered to

Training

• Plan, organize and conduct driver training and garage employees training if necessary

Fleet Budget

• Prepare & Review financial/budget reports and prepare yearly operating budget.
• Analyze and monitor direct and indirect fleet costs.
• Other assignments given by your line manager.

Rental car management

• According to the need have an alignment with business development manager to rent needed type vehicles with reasonable cost.

• Design and implement suitable and efficient way of fleet controlling system for the rental cars.
• Implement suitable fuel management mechanism.

Job Requirement

Education

• Minimum Bachelor’s degree in business administration/ mechanical engineering/automotive engineering or related fields.

Experience

• 5 years of relevant experience in fleet management from which 3 years in managerial position.
• Computer skills: Excel, Word, knowing how to manipulate an ERP system.
• Good knowledge of Ethiopian legislation in transport and insurance.
