Position: Project Management Assistant
The Armauer Hansen Research Institute (AHRI) was founded in 1970 through the initiative of the Norwegian and Swedish Save the Children organizations seconded by the Ministry of Health of Ethiopia. The Institute got its name from the Norwegian physician, Gerhard Henrik Armauer Hansen, who first described the leprosy bacillus (Mycobacterium leprae). AHRI reorganized by the decree of the Council of Minister’s Regulation No. 530/2023 with the objectives of conducting biomedical, clinical trial and bioequivalence research, promoting and strengthening local production of pharmaceutical products and research capacity building under the Federal Ministry of Health. AHRI, over its 50 years in service, is well known for its hub function for skill and technology transfer and partnership embracing research agendas with direct impact in the development and transformation of population in Ethiopia and beyond.
The Malaria and Neglected Tropical Diseases (MNTD) Research Division is one of the departments in the institute and currently MNTD’s Malaria Research Unit runs different research projects on malaria in collaborations with national and international partners and funders. Therefore, the MNTD Division is looking for self-driven, motivated, innovative and energetic Project Management Assistant to join our team. The Administration Assistant will be mainly responsible for assisting the project manager in coordinating the day to day activities of different projects, finance and logistics management, compiling reports and communicating with project specific teams.
Key Duties and Responsibilities
· Assisting the project manager in coordination’s and management of projects
· Assist in the preparation of project proposal documents (project budgets, deliverables and milestones and activity Gantt Charts),
· Keep track of project progresses, monitor milestones, deliverables and project activity plans
· Assist in the preparation of technical progress reports to be submitted to funders and partners
· Record each projects ethical approval renewal periods and remind respective project coordinators timely to apply for renewals.
· Work with various teams and stakeholders to monitor project progress and ensure projects are completed with budget and schedule.
· Monitor weekly plans and performance reports of each team under the Malaria Research Unit
· Assist in the preparation of different events (project meetings, conferences, etc); design schedules, arranging logistics, communicate with participants and prepare reports
· Facilitate communications with different stakeholders and prepare any pertinent documents requested by stakeholders
· Documenting all the relevant minutes of meetings, letters, certificates and progress reports
· Perform any activities given by the PI and the project manager
Required Qualifications:
Education
· A candidate must have a first degree in Public Health, Health Informatics and related fields.
· CGPA 3.00 and above for male applicants and 2.75 and above for female applicants
· Work experience is not required
Skills and Competences
· Highly organized, able to handle multitasks and oversee several projects simultaneously
· Strong time management skills
· Excellent interpersonal communication skills
· Fluent in English Languages, both verbal and written
· Proficiency in Microsoft Office and having experience in project management softwares is an advantage
· Strong attention to detail and problem solving-skills
· Ability to work with others/team work
Duty station: Addis Ababa AHRI Head Office
Number required: 1 (One)
Terms of employment: one year contract period with full time employment basis with possibility of extension based on performance and budget availability
Salary: As per the scale of the institution
